**Job summary**:

- The postholder will be responsible for carrying out the document management process on all information rights cases.**Job description**:
You will perform the following role with regards to information rights cases:

- To ensure that the information rights team receive support in relation to the management of information rights cases by means document management for files and the bundling of data for individual requests.
- Set up the appropriate meeting with the internal and external stakeholders.
- Attend meetings and make minutes and manage the action points from the matters discussed.
- Maintain the case management system database accurately and update it with any necessary administrative changes.
- Update the information rights Hub Team site with the appropriate documentation and regularly conduct reviews of this site.
- Assist the information rights team with purchase requests, raise purchase orders, book couriers where required, encrypt DVDs for disclosure and book any travel and accommodation requirements.
- Assist with the arrangement of meetings and other events, including the booking of video conference facilities and sending out invitations at the request of the team.
- Keep relevant parties informed by issuing update letters and acknowledgements to requesters.
- Assist and liaise with staff members to maintain good communication and relationships and with colleagues in other regional offices and interested parties.
- These key duties and responsibilities are intended only as a guide to the main responsibilities of the post and are not intended to restrict the scope of the post holder to perform other duties. Additional responsibilities for the post holder may be agreed on an individual basis and recorded as part of the annual performance review role requirement.

**Person specification**:
**Essential**:

- Educated to A-Level or equivalent relevant experience
- Excellent organisational skills and sound judgement
- Ability to work under pressure, prioritise and manage tasks.
- Demonstrates high level of attention to detail and an ability to work accurately.
- Proven experience of working effectively in a team environment.
- Experience with dealing with internal parties to complete tasks successfully.

**Desirable**:

- Experience or understanding of Freedom of Information and Data Protection legislation.
- Typing experience - minimum of 40 to 50 words a minute.

**Skills and Abilities**:

- Sound administrative skills, able to organise and prioritise when under pressure and meet or negotiate deadlines.
- Analytical skills appropriate to the role, with the capacity to absorb/organise new information.
- Strong inter-personal (written and oral) communication skills.
- Comfortable taking decisions within a clear framework of delegation.
