**The successful applicant will**

Have experience of maintaining financial information systems.

Be able to financially plan and forecast.

Have excellent communication skills (written, oral and presenting).

Have strong IT skills in microsoft packages and financial software.

Be able to problem solve and to deal with difficult situations

Ability to prioritise and work to tight deadlines in a fast paced environment.

Be able to deputise for the Practice Manager in making decisions and showing initiative and work closely with the Practice Administrator.

**JOB DESCRIPTION**
Job Title Finance Administrator

**Responsible To **Practice Manager

**Place of Work **Middlewood Medical Centre

**1. **Job summary**

The post-holder will ensure that the Practice’s financial systems operate efficiently and effectively in keeping with the financial aspirations of the Partners.

The post-holder will assist the Practice Manager to ensure effective management of existing contracts and leases between the Partners and external organisations.
2. **Organisational responsibilities**
- To work with the Partners and the Practice Manager to ensure the financial stability of the Practice.
- To understand the financial implications of contract changes and legislation
- To report to the Practice Manager to agreed timescales

**3. **Operational responsibilities - Administration**
- To deputise for the Practice Manager in their absence.
- Assist in the recruitment of staff as requested by the Practice Manager
- Support the Practice Manager in the reviewing and updating of practice policies and procedures.
- Respond to complaints as requested.
- Engage with the Patient Participation Group.
- Support the management team in the production of reports and briefing the team at meetings as required.

4. **Operational responsibilities - finance**
- Process income and expenditure information
- Maintain accurate and timely records along with finance systems
- Cash-flow monitoring and forecasting
- Reconciling of bank accounts
- Management of VAT and liaison with HMRC ensuring timely VAT returns are made
- Purchase and sales ledger processing via the Practice’s electronic accounting software
- Salaries including PAYE and pensions
- Liaison with the Practice Accountant
- Liaison with the Practice Bank

5. Operational responsibilities - capital lease and contract
**Fairlawns**
- Raise invoices to ensure rent and services charges are paid to the Practice in accordance with the Underlease
- Ensure payments to the Superior Landlord are made in a timely manner and in accordance with the Headlease
- Maintain a detailed record of expenditure and provide this quarterly to the tenants
- Complete the end of year Service Charge Statement
- First line of contact between the Practice and the Superior Landlord
- First line of contact between NHSPS Finance and the Practice

**4.2** **Hillsborough Medical Group**
- Ensure Pharmacy rent and services charges are paid to the Hillsborough Medical Group in accordance with the Lease
- Process income and expenditure information
- Record-keeping
- Cash-flow monitoring and forecasting
- Management of bank accounts
- Purchase and sales ledger processing
- Liaison with the Practice Accountant
- Liaison with the Practice Bank
- Complete the end of year Service Charge Statement to the Hillsborough Medical Group
- First line of contact between the Practice and the Pharmacy
- Liaison with Tramways 54 Holme Lane with regard to Hillsborough Medical Group
- Liaison with solicitors with regard to the Tramways Pharmacy

- Attend Team and Practice meetings

**Confidentiality and Data Security**
- Preserve the confidentiality of any information regarding patients, staff (in connection with their employment) and the Practice business and this obligation shall continue in perpetuity.
- Responsibility to comply with the Data Protection Act 1998, NHS Confidentiality guidelines (e.g. Caldicott, GMC.) and any code of practice on Confidentiality and Data Protection, as accepted by the practice.
