**Job Title**: BMUS Event Coordinator

This role requires attendance at events across the country, these can be both a weekday or at a weekend. Plenty of notice is given for the attendance at these events and any additional time worked is given back as time in lieu.

**Salary**: £23,00 FTE (Pro-rata to £18,400 for 28hrs)

**Working Hours**: 28hrs, these hours will predominantly be worked Mon - Fri 9-5.

**Location**: Central Milton Keynes.

**Work Base**: Office based, however the opportunity for flexible working is available. Milton Keynes

**Main Purpose of the Role**

1. Be responsible for and successfully deliver the BMUS study day programme.

2. To work with the Professional Officer and Operations and Development Manager to deliver the BMUS Online programme.

3. To successfully manage the registration and bookings process for the Annual Scientific

Meeting (ASM).

4. To keep up to date the BMUS Website and App.

5. To support BMUS to meet its charitable aims through support of the BMUS Committee

Structure.

**Main duties**

**1. Be responsible for and successfully deliver the BMUS study day programme**

To successfully deliver the BMUS study day programme.

Attend all study days making sure they run smoothly.

Create and manage each study day registration module on the BMUS Website.

Follow the BMUS invoicing procedure for all delegate bookings ensuring payment or a purchase order is obtained prior to the Study Day.

Work with the Marketing and Communications Officer to promote each Study Day in a timely manner.

Prepare all delegate badges, packs and information.

Communicate effectively with Delegates, Members, Speakers and Course Organisers to ensure each study day runs smoothly.

Source, secure and liaise with venues for each study day.

Collect, collate and share feedback from Delegates attending each study day.

Issue delegates, speakers, and volunteers with CPD certificates.

**2. To work with the Professional Officer and Operations and Development Manager to**

**deliver the BMUS Online programme**

During the pandemic BMUS was regularly delivering webinars to fulfil our educational aims.

Going forward BMUS will be looking at a variety of online events and resources. These will be developed between the Professional Officer, Operations and Development Manager and the

Events Co-ordinator.

Be responsible for delivering the BMUS Online Programme.

**3. To successfully manage the registration and bookings process for the Annual Scientific**

**Meeting (ASM).**

Attend the BMUS Annual Scientific Meeting and run the registration desk ensuring all delegates and speakers are swiftly processed through registration.

With the Operations and Development Manager create the ASM registration module.

Manage the registration module on the BMUS Website ensuring all delegates are registered correctly.

Follow the BMUS invoicing procedure for all delegate bookings ensuring payment or a purchase order is obtained prior to the meeting.

Prepare all delegate badges, packs and information.

Communicate effectively with delegates, to ensure registration runs smoothly.

Collect, collate and share feedback from Delegates attending the ASM.

Issue delegates, speakers, and volunteers with CPD certificates.

**4. To keep up to date the BMUS Website and App**

In conjunction with other members of the BMUS team, where appropriate, update the BMUS website ensuring information is accurate and current.

Support the continued development of the BMUS App ensuring it is maintained and kept up to date.

**5. To support BMUS to meet its charitable aims through support of the BMUS Committee**

**Structure**

Organise and support the BMUS Education Group by liaising with the chair to produce agendas and supporting paperwork, distribute in a timely manner, take notes and arrange future meeting dates.

**6. Other Duties**

BMUS is a small office team, at times there maybe requirements to help other members of staff with their roles during busy periods or times of annual leave.

BMUS Events are held across the country and there will be a requirement to travel to these the evening before an event to ensure the team is in place for first thing in the morning.

The BMUS Annual Scientific Meeting is held in early December. This event requires the whole office team to be away for 5 days. The additional hours worked will be given as time in lieu.
