Our client is seeking a proactive and competent assistant to provide administrative support for one of their vital academic programmes. You will be working closely with internal colleagues, as well as external suppliers to execute a world-class experience.

**Temporary Academic Programme Assistant Responsibilities**
- Be the point of contact and liaise directly, both internally and externally, to ensure timely responses to queries
- Manage all of the events’ ticketing and registration processes, both virtually and in-person
- Update all records and databases to ensure the latest information about programmes and events is available to all relevant stakeholders
- Ensure that all technology and accessibility-related requirements for digital events are in place and that all speakers are familiar with the technology and with the sessions’ format
- Liaise with the relevant Event Lead to ensure room set-up, AV/IT, accessibility, and dietary requirements are communicated effectively for execution of the event.
- Consult with Programme Manager to create surveys for attendees, and ensure distribution of feedback results
- Curate and send the weekly newsletter
- Take regular stock takes of event materials and order stock
- Provide on-the-night logístical and programming support for Scholar Events as required
- Develop and update processes, guidelines, how-to and FAQ documents for organising and executing virtual and in-person events

**Temporary Academic Programme Assistant Requirement**
- Ability to work on a multiplicity of tasks independently and at the same time, and to organise and prioritise own work
- Experience of planning, delivering, and evaluating events both on a small and large international business environment
- Proactive, focused and organised, with excellent attention to detail and comfortable dealing with a variety of stakeholders
- Excellent written and verbal communication skills, including diplomacy and influence
- Excellent team work and collaboration skills with a positive approach to new and developing challenges
- Advanced knowledge of Microsoft Office, together with fluent IT literacy and experience working with databases
- Flexibility to work late evenings and weekends when required to support the running of events

**Location**

Our client is based in Oxford City Centre (OX1). Due to this location there is no parking available onsite, however it is close to public transport links.
