**Job description - Clinic Coordinator/Medical PA**
Medicetics is a leading Aesthetic Skin Clinic in Central London (W2), requiring a new Front of House team member to join our Medicetics family. We launched in We are expanding rapidly and plan to open new flagship premises in London later this year.
We are a team of 6 doctors and 2 aestheticians, providing the full range of non-surgical cosmetic treatments for face and body. We recently became reregistered with the Care Quality Commission and are now offering new advanced medical treatments that include thread lifts, mole removal and IV nutrient therapy.
This is an exciting opportunity for an enthusiastic and ambitious front of house/receptionist to work in a high-end private practice. Alongside your customer service and sales role, you will also assist the Directors/Doctors with the coordination of their clinics and clients, prepare treatment plans, manage their diaries and support where necessary in the treatment room.

**Essential Requirements**:
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Minimum 2 years’ experience in aesthetic industry
- Sales focused with experience working with KPIs
- Passion for aesthetics
- Solid written and verbal communication skills
- Excellent organisational skills with a great attention to detail
- Strong multitasking and time-management skills, with the ability to prioritise tasks.
- A positive, energetic, cheerful, can-do attitude with the ability to work well within a team.
- Professional attitude and appearance

**Duties**
- Delivering 5-star customer service to our patients at all times. Owning the patient journey, ensuring that each step - from the moment of their first contact with the clinic (a treatment or booking enquiry) through to arrival, check-out and follow-up - generates a positive feeling. Patient retention is of utmost importance at Medicetics
- Ensuring our patients have the best possible care
- Working closely with our Directors/Doctors with the coordination of their clinics and clients, prepare treatment plans, manage their diaries and support where necessary in the treatment room.
- Meeting and greeting patients
- Booking appointments
- Responding to booking enquiries promptly
- Call handling duties: Answering, screening and forwarding incoming phone calls. Outbound calling to enquiries/patients
- Ensuring the reception area is kept tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Maintaining clinic security by adhering to safety procedures and controlling access via the reception desk (monitor logbook, issuance of visitor badges)
- Performing other clerical receptionist duties such as filing
- Assisting Practitioners and Doctors with set-up and treatments.
**Administration Support**
- Taking charge of patient clinic notes, ensuring that all necessary fields on our electronic database are completed accurately by the team
- Greeting all patients as they arrive at the clinic and ensuring that all forms are completed before escorting them down to their consultation
- Opening and closing up the clinic as per procedure
- End of day reporting, cashing up and stock checking
- Monitoring retail stock as per stock control process
**Medical PA Support/Doctors Assistant**
- Represent Doctors by screening clients, help with scheduling, receiving and announcing scheduled clients and visitors.
- Be able to support Doctors in a healthcare assistant role.
- Ensure doctors productivity by maintaining a calendar/clinic list.
- Produce information by transcribing doctor notes, preparing medical records and creating summaries.
- Make client referrals and introductions when requested by the doctor.
- Assist the doctor when he/she is treating clients if required and work within CQC guidelines to ensure best practice.
- Create treatment plans following consultations with the doctor. Ensure the client becomes a client for life.
