Administration Assistant (PA to Senior Theatre Management Team)

We have an exciting opportunity for an experienced Administration Assistant to join our Theatres team here at The London Clinic. Based our main hospital site in London, near Regents Park, you will work closely with our Theatres Management team by being the lead for administration and secretarial services within Theatres; supervising and coordinating the administrative support services.

This role is offering a competitive salary of £28,319 - £34,031 per annum.

Role overview

The Administration Assistant is a vital support role within the Theatres Team - ensuring the efficient provision of administrative secretarial support service to members of the Theatre & Anaesthetic Service, and by being the lead for administration and secretarial services, supervising and coordinating the administrative support services.

Duties & Responsibilities

To provide a full PA service to the relevant team members including dealing with correspondence, telephone calls and enquiries, creating first draft responses to correspondence on behalf of the Service. This will require the individual to exercise good judgement and sound communication skills to discuss and identify a range of options and choose the best course of action to resolve issues.

To ensure the smooth running of meetings chaired by, or on behalf of, the Theatre department, including arranging meeting times and venues in advance (usually annually), collating agendas and papers for meetings, equipment and catering, ensuring that all participants are in receipt of appropriate documentation prior to the meeting, and taking accurate minutes at meetings as required.

To have responsibility for specific key projects/tasks and will be required to act on their own initiative to see them through to a timely conclusion.

To support and facilitate the management of e-roistering, annual leave and month end documentation for the medical consultant Anaesthetic’s, liaising with the clinics financial and HR teams and the clinical leads.

To be the Theatre Suite PA providing support to the management and operating theatre speciality leads.

To undertake analysis of data required to support service delivery and systems to support implementation and efficient utilisation of resources.

Skills & Experience

GSCE English Grade C and above (or grade 5 to 9)

Extensive administrative experience, preferably within an NHS setting

Good working knowledge of MS Word, Excel and PowerPoint.

High standard of written English

Excellent attention to detail
