**Job Position: Sales and Lettings Administrator**
We’re seeking a dynamic and highly organized Administrator to bolster our growing estate and lettings agency team. This role is perfect for someone with unwavering attention to detail, excellent communication skills, and proactive organizational abilities, especially concerning online file management. Your professional phone manner and top-tier customer service abilities will position you as one of the primary touchpoint for our clients and a supportive pillar for our colleagues.
**What does the job involve?** You'll be the linchpin ensuring the seamless day-to-day operations of our office, collaborating closely with the director and agents. Your responsibilities include:
- General administrative tasks typical of an estate agency and lettings agency
- Coordinating and scheduling meetings with clients.
- Handling incoming calls from our diverse clientele.
- Capturing and registering details of potential buyers and tenants.
- Drafting tenancy agreements with meticulous precision.
- Sending agency agreements for clients to sign
- Overseeing property advertisements to ensure their accuracy and appeal.
- Managing deposit protection schemes, ensuring compliance.
- Assisting colleagues in various capacities, including undertaking executive assistant tasks.
- Taking charge of general administrative duties such as filing, photocopying, data entry, and mail handling.
- Organizing and maintaining online files, folders, and databases proactively to ensure easy access and retrieval by the team.
- Occasionally accompanying colleagues to appointments, such as sales viewings or property inspections.
- Assisting colleagues in progressing sales deals to completion, ensuring all necessary steps are taken for a smooth transaction, earning commission for each successfully completed sales deal.
**Who are we looking for?** While experience in the estate agency sector is important, we also highly value:
- A friendly and professional attitude, even when confronted with difficult clients and customers.
- Unwavering attention to detail.
- Strong communication skills, both written and verbal.
- Proactive organizational skills, especially in digital environments.
- Familiarity with IT platforms used in the estate and lettings industry.
- Current knowledge of compliance laws within the property sector.
- Proficiency in Macbook, iPhone, Google Workspace, and Microsoft Office Suite.
- Ideally an ARLA qualification (though not mandatory).
- Multitasking capabilities, with the skill to prioritize and organize tasks efficiently.
- Mandarin and Cantonese speakers, or those with an interest in business development, are desirable, but not mandatory.
**Key Responsibilities**:
- Ensuring clear and effective communication in both internal and external conversations.
- Providing a warm and welcoming experience to all office visitors.
- Managing daily business accounts with precision.
- Maintaining office areas, equipment, and facilities.
- Collaborating with IT, phone, and building maintenance teams.
- Progressing sales deals to completion and earning commission for each successfully completed sale.

Pay: £28,000.00-£35,000.00 per year
