We have an exciting opportunity for a permanent B4 governance team administration assistant in the Learning Disabilities Service.

The Learning Disabilities Service provides a range of services for people in the West Midlands to assist them in managing their learning disabilities. All our services are provided by teams of clinical professionals and support staff who aim to provide integrated services in ways that best meet the needs of patients and their carers.

This is an exciting opportunity for an individual who relishes a challenge and is keen to demonstrate their skills and abilities in using their own initiative.

This role is demanding; applicants will be self-motivated and must enjoy working within a multi-disciplinary team and have the ability to relate to our service users, carers, parents and members of the public. The post holder will provide a high level of administrative and business support to the Divisional Quality and Safety Board on a day to day basis complemented by excellent organizational and communication skills.
Main Duties
- To be responsible for the provision of a comprehensive administration service to the Governance Team on a day to day basis.
- To be responsible for the preparation of draft agenda’s, notify attendees, book virtual meetings or room bookings, taking minutes/action notes, and provide other high standard service support for Board meetings including the Divisional Quality & Safety Board (DQSB) and Clinical Effectiveness Board (CEB).
- Use own initiative to plan time effectively and prioritise all incoming work on a daily basis, including responding quickly, appropriately and communicating clearly in relation to urgent/important and unpredictable issues ensuring a high quality administrative service.
- To be responsible for effective diary management of multiple busy and complex electronic diaries within the team, ensuring management commitments are accurately recorded.
- Plan and organise Patient Experience and Service User Group meetings and other ad hoc professional meetings with colleagues and outside agencies using planning skills to determine the importance of meetings/event; organising them within an appropriate timescale.
- Follow up outstanding issues which emerge from Divisional Board Meetings, including DQSB and CEB.
- To support the Governance Team to compile information for submission to regulators such as Care Quality Commission (CQC).
