Senior Procurement Assistant

We are looking for a Senior Procurement Assistant to administer for construction and equipment supplier account works in respect of New Store Developments, Refurbishment Works, Rollouts and Miscellaneous works.
**KEY ACCOUNTABILITIES**
1. Management of supplier/contractor accounts
2. Negotiation & cost agreement together with contract variations
3. Co-ordinate and schedule equipment requirements for all projects
4. Order preparation & creation on SAP together with issuing orders and all associated documents.
5. Monitoring of capital & revenue spend - integration of SAP reports.
6. Creating reports /Spreadsheets on Excel and interrogating data.
7. Managing payment and invoicing including liaise with suppliers/contractors and Internal insight portal.
8. Receipt of orders on SAP system, payment of accounts (Instruction to pay)
9. Update Asset Register.
10. Manage & ensure all Completion Certificates/Handover Documentation, reports and Guarantees are received and issued prior to payment.
11. Reporting on stock levels to ensure continuity of supply.
12. Produce Nominal Breakdowns.
13. Produce Budgets.
**KEY RESULT AREAS**
**a) **Expected Deliverables**
1. Preparation of order input on SAP
2. Running SAP reports and interrogating data for project budgets.
3. Running Excel reports and interrogating data.
4. Ensure orders are correct and issued in time to meet Projects.
5. Ensuring delivery of equipment/works.
6. Managing and agreeing costs and accounts, obtaining most economical costs and maintaining cost data.
7. Monitor/review supplier stock levels to fulfil procurement schedules.
8. Receipting of orders on SAP in accordance with project programmes.
9. Obtain Barcodes and update Asset Register
10. Ensure all Completion Certificates/Handover Documentation, reports and Guarantees are received and issued prior to payment.
11. Managing stock ensuring availability.
12. Produce nominal breakdowns for finance dept.
13. Maintain supplier/contractor schedules.
**b) **KPI’s**
1. Produce orders within 1 week of receipt of dated programmes & Procurement Schedules and issue with all required documentation.
2. Controlling payment of accounts: - Receipt orders In Accordance with SAP within payment terms ensuring all Handover certificates are collated.
3. Running SAP reports and Excel reports/spreadsheets for project budget control.
4. Agree costs and accounts, obtaining most economical costs and maintain cost data.
5. Ensure all Completion Certificates/Handover Documentation, reports and Guarantees are received and issued prior to payment to all parties.
6. Maintain Asset Register updating in accordance Audit reports, Procurement Schedules and Rollout Programmes.
7. Managing stock ensuring availability.
8. Produce nominal breakdowns for finance dept.
9. Maintain supplier/contractor schedules.
