NAAFI are seeking a dynamic, proactive and passionate Contracts Administration Assistant who is highly approachable, good at multi-tasking and a great team to player to join our growing team at our fabulous offices in Whiteley. The role will provide administrative support to our contracts team, part of the wider Royal NAAFI Commercial team.

**Role and Responsibilities**:
The core purpose of this role is to provide administrative support the Contracts team. The focus of the role will be to support on-going live projects and to maintain the contracts, assets, fleet and the capital projects register to a high standard, supporting other parts of the business as required. To be passionate about customer service and maintain high standards of communication to both internal and external customers. To demonstrate integrity and respect at all times and in all aspects of daily duties.
- Responsible for providing administrative support to the team and maintaining accurate and effective information and filing systems.
- Responsible for producing high quality, accurate documentation/ information as required by the Management team.
- Responsible for setting up and maintaining the asset register by creating sites, adding, updating and deleting equipment as procured. Produce asset and valuation reports as required.
- Assist in the placement and tracking of equipment orders with various suppliers.
- Maintain the commercial contracts register, update with new contracts and highlight contracts that are out of date and ready for review in a timely manner.
- Involvement with contractual and financial documentation for current and new business.
- Involvement with accounts team to ensure financial accuracy for monthly accounts.
- Maintain a capital works schedule and link to project updates by keeping track of version controlled documents, quotes, signed off projects and works programme.
- Maintain the fleet register and monitor mileage, general contract run out dates, MOT, BFG dates.
- Proactively communicate with all NAAFI outlets, suppliers, and internal departments regarding on-going live projects.
- Undertake any other duties as may be appropriate and required from time to time.
**Requirements of the role of Contracts Administration Assistant**:
- At least 1 years’ experience of office administration.
- Excellent communication skills.
- Experience of Microsoft Office.
- Excellent administrative ability
- Excellent verbal and written communication skills.
- Proven ability to multi-task.
- Great team player
