Administration Assistant

An exciting opportunity has arisen within our West Thurrock branch for an Administration Assistant. We are looking for an enthusiastic, committed administrator who is an excellent communicator, organised and able to work well under pressure and often using own initiative.
**Responsibilities**:
- Receive, direct and relay telephone messages and enquires
- Receive all types of visitors, issuing visitors badges and safety PPE if needed, ensuring visitor book is completed and arranging their collection by the appropriate person
- Ensure contractor book is completed and work is signed off by relevant person
- Distribute all incoming mail and outgoing mail
- Copying, mailing, and filing of any relevant documentation
- Maintain stock levels of all office and laboratory supplies and goods
- Managing the ordering process of all supplies and goods from start to finish. This includes quotations, supplier online portals, ordering, raising of P/O’s, receipting of P/O’s and invoices
- Managing P-card purchases and the P-card process
- Unpack and store all goods purchased
- Maintain meeting room diary
- Manage door entry system and issue pass cards for site
- Arrange taxis, buffets and any accommodation needed for visitors
**Key Requirements**:
- Previous experience in a receptionist and or administration role is beneficial.
- Good IT literacy skills, especially Excel.
- Excellent communication skills (verbal and written)
- Proven experience of customer relations
- Experience and knowledge of petroleum industry is desirable but not essential
- Professional and responsible
- Good organisation skills
- Full UK driving license
- A commitment to accuracy and quality while meeting goals and deadlines.
