Spire Claremont Hospital is looking for a Patient Services Administrator to join the Medical Records team, working on a permanent contract for 22.5 hours.

**JOB PURPOSE**

To provide a comprehensive and efficient service for all service users, including clinicians and patients of the outpatient department facilities, including providing administrative support to outpatient nurses.

**KEY ACCOUNTABILITIES**

1. **Clerking & Administrative Processes**
- To maintaining an orderly case note filing system under the existing scheme, ensuring that additional patient documentation is filed promptly and file information; letters, test results etc, is up to date.
- Daily (circa 24 hrs in advance/for the following day), to assemble and collate patient notes for all Outpatient clinics attaching the relevant clinic list and despatch to the Outpatient department. Notes will be recorded for tracking prior to despatch.
- Daily collection of case notes from the Outpatient.
- To initiate and maintain a comprehensive tracking system for notes out in departments or with consultants from issue to return. Running routine reports to trace notes and chase those responsible for untimely returns.
- General use of the imaging Foreign Book for reference purposes (records x-rays and other image types received from external sources).
- To, post-operatively, photocopy NHS patient notes prior to their return to the relevant NHS sites in compliance with NHS Choices and other contractual requirement.
- (Only if given specified approval by line manager) To merge and record duplicate case notes.
- To liaise with other third party healthcare providers, clinicians and patients to obtain records and information within a set timeframe. Providing access and arranging transportation of Claremont files to authorised third party healthcare providers and clinician processes.

**2. Preservation & Destruction of Case Notes**
- Ongoing general & departmental preparation of on & off site filing to include end of year project to our secure filing depot (Squirrel).
- Annually, to identify, record and arrange transportation of files to the hospitals chosen secure storage provider.

**PERSON SPECIFICATION**

**Essential**

English Language and Mathematics GCSE or equivalent qualification

Demonstrable ability to process data effectively and accurately

The ability to work in a methodological, systematic way

The eye for attention to detail

Ability to communicate clearly both verbally and in writing with different disciplines of healthcare staff, including Consultant users

Demonstrable experience of working in a fast paced administration role

Demonstrable excellent communication and interpersonal skills

Ability to priorities and manage own work load

Ability to work independently and under pressure

Evidence of a positive attitude towards customer service and care and an ability to define and demonstrate ‘excellence of customer care’

To be of smart appearance to represent the outpatient department within the hospital and to patients

A team player with a can
- do attitude

**Desirable**

Educated to A Level Standard or equivalent qualification

Evidence of personal development

Experience of working with Microsoft Office

Knowledge of healthcare PAS systems

Experience of working in a healthcare environment

Previous training in customer service

Experience of working in a receptionist role

Experience of interaction with members of the public and Consultants
