1. Provide a complete secretarial service, including word processing using audio-typing, filing, photocopying, faxing, sorting mail, answering telephone and composition of letters, to the Consultants and their junior staff without direct supervision.

2. Accurately, to agreed templates, transcribe and type, longhand letters and direct dictation, medical and non-medical correspondence with follow up action as required. Often these letters will be of a distressing nature with complex medical terminology.

3. To professionally and sensitively provide the first point of contact for written and telephone enquiries to the Consultant’s office from patients/relatives, GP and other departments/hospitals, taking clear messages and using judgement to prioritise and take appropriate action for swift resolution. Assess urgency and act on own initiative when consultant is unavailable.

4. Sort and prioritise incoming mail using judgement and experience to decide which documents should be brought to Consultant’s attention for action. Distribution of own mail as appropriate.

5. Ensure a high standard of filing both paper and electronic. Maintain administrative systems, networked information and electronic messaging.

6. Maintain confidentiality/discretion at all times, regarding patient details and medical history.

7. Ensure that new doctors and locum doctors have access to all systems, including being a super user for smartcards

8. Supervise any bank administrative or other administrative staff in carrying out their duties.

9. Required to locate and track hospital notes accurately. Maintain a common filing system. Ensure that medical case notes are maintained correctly. Be responsible for the upkeep of hospital notes within this Trust, and organise the administration rota for retrieving notes from other hospital sites.

10. Provide essential cover for absences of secretarial colleagues.

11. Undertake any other duties of a secretarial nature, which may be requested to ensure the smooth running of the directorate.

12. Have excellent interpersonal and communication skills and knowledge of the range of secretarial procedures. Have a sound understanding of medical terminology and advanced typing skills. Computer literate in Microsoft products, including Word, Excel, Outlook, and also Trust information systems - Medway, Review and digital imaging.

13. Create and maintain close working relationships with other departments within the Trust, GPs and other outside agencies, e.g. Oxford Health, Thames Valley Police, and South Central Ambulance Service
