We have a vacancy for a Band 2 Administrative Assistant to join our Adult Community therapy team. The Adult Community therapy team deliver patient centred care within patients own homes County wide across Lincolnshire. As part of this team the Administrative Assistant will support the County wide team with the smooth running of the service.

Role is to work with and support the Adult community therapy team,
delivering patient centred care, with particular focus on co-ordination of services. To act as the first point of contact for Staff, patients and carers. To perform a range of administrative procedures that support the efficient and
effective running of the service.

You will receive regular supervision and an annual appraisal to identify and support with any development wishes and needs.

Provide administrative support to the adult community therapy team including telephone calls, letters, faxing, data input and data retrieval from various systems, reports and therapy staff including booking meetings, rooms.
Management of patient records maintaining confidentiality
and Data Protection via various systems.

Scanning of patient documentation ensuring that the patient record is accurate and relevant to the patients and ensure continuity of care in
the community

Liaising with other healthcare teams within the NHS. Maintain close liaisons with GP’s, medical staff, social work teams etc.

Resolve queries raised by relatives, patient, other hospitals, informatics, GPs and respond to enquiries in a timely manner

Chasing, cancelling, making and remaking of appointments

Ensure referrals are sent in a timely manner to the relevant
departments via the many mediums used e.g. fax, NHS net,
telephone.

To ensure sufficient stock and stationery are in place within departments and ensure effective stock management.

Support caseload and sector meetings by advanced planning such as inviting attendees, circulating information to relevant members prior to the meeting and minute the outcome during the meeting as requested and required by
the clinical team, supporting the clinical staff during and after Such meetings
