**Background**

Campus Services (CS) employs over 900 staff with a turnover exceeding £57m in the last financial year. CS plays a key role in the quality of the student, staff, and visitor experience, providing services across diverse areas such as the University’s sporting facilities, food and beverage, cleaning, community safety and security, conferencing, hotel operations, day nurseries, portering, post, branded and own-brand retail outlets, visitor services and attractions (e.g., Winterbourne House & Gardens), student housing, transport, waste disposal and recycling. CS is a highly commercial organisation operating within the University context and has an ambitious strategic agenda, in terms of growing our service profile across both our Birmingham and Dubai campuses.

**Role Summary**

To provide proactive administrative support in Campus Services Marketing, working as part of a team or on own initiative. You will have the ability to manage your work without needing to refer to others for most of your time. In order to flexibly use resource you may be given the opportunity to work in different areas of the department or wider University.

Administrators may work in any area of the University; with large groupings in HR, Finance, and School/College Hubs.

You will be able to develop a wide range of skills, both technical and administrative, and may also have the opportunity to lead on specific tasks within a team.

**Main Duties**
- Scheduling and coordinating meetings including room bookings and minute-taking.
- Participating in crucial meetings, such as concept sessions, and documenting action items and queries for clients.
- Receiving and archiving project briefs, raising requisitions and orders on behalf of the rest of the team.
- Maintain working relationship with key stakeholders, fielding queries, receiving, and dealing with any disputes or complaints and resolving promptly.
- Collaborating with clients on project briefs, offering guidance on delivery timelines, seeking clarification, sending proofs for review, and documenting amendments for communication to the marketing and communications team.
- Updating the project management tool with agreed-upon actions and deadlines, assigning tasks to team members, and ensuring the system is consistently maintained with up-to-date information to ensure timely completion of tasks.
- Following up with the internal team and clients to ensure tasks are completed on time and within budget.
