Site Administrator

We are currently looking for an organised, efficient, and experienced Site administrator to join our company. You will be providing support to our busy construction team. The role of Site Administrator is to co-ordinate and provide secretarial administrative support to Partners and project teams. A resourceful and flexible approach is required
**Responsibilities**:
- Provide full secretarial and admin support to the project team and department to ensure the smooth running of the department operations
- Format documents using up to date templates and QA procedures
- Check in with teams about their deadlines and offer help for them to keep those deadlines
- Arrange and attend weekly or monthly team meetings, keep minutes of actions
- Complete Directors Expenses/Credit card statements
- Raise invoices and credit notes
- Answer phones when needed and take messages for team members if they are unavailable
- Keep CRM up-to date with clients and opportunities
- Liaise with finance
- Become familiar with the BIM folder structure and ensure that teams are filing correctly
- General office duties including photocopying, scanning, binding, printing
- Book travel/accommodation
- Assist Directors with managing team holiday requests
- Keep in contact with team members to find what they need help with and try to find solutions to any problems they are having
- Take minutes of meeting and maintain records for the operations and project team
**Detailed Responsibilities**:
- Inputting information with regards handover documents for each room and who carried out the inspections:
- What inspections have taken place:
- Wall closure, above Ceilings, Room completion, ceilings and handover.
- Compliance:
- With regards: Room Sizes, Floor type, Wall finishes, Doors, Ceiling layouts.
- Also, installation of Group 1 and 2 items.
- Commissioning:
- Heating, Cooling, Electrical install, Lux levels, Fire Alarms, Nurse call, Corse and Effect.
- Quality:
- Finishes within the room
- Defects outstanding at handover.
- Highlighting drawings to show areas inspected and works outstanding.
- Take Minutes from Meetings:
- Friday Quality meeting.
- MEP Commissioning Planning & Review Meeting.
- Assist in Collating the Supervisors Monthly Report.
- Support the Supervisor team in developing/updating inspection trackers.
- Assist with O&M certification collation and witness certification collation.

- Education: GCSE level
- Experience: must have construction support experience, proven ability of performing similar tasks, enthusiastic and bright
- Specific skills/programmes: Office package, advanced Word
- Personality & Attributes: outgoing, hard-working, friendly, approachable and professional

Currently admin / secretarial staff are working from the office 2/3 days a week but the contract is full time, Monday-Friday 9am-5:30pm
