Full time, Monday - Friday 9 - 5 pm

Job purpose

Momart provide a comprehensive art handling, transport, and logistics service to our clients. Working with our other departments, the Shipping team have a critical role helping to organise the international transportation of fine art, antiques, and collectors’ items to and from the UK, and ensuring that Momart and our clients comply with all customs, import and export regulations.

Key tasks

The Shipping and Customs team work with all departments at Momart to ensure the safe delivery of art works worldwide. This Coordinator role requires freight forwarding experience and provides an opportunity for customs career progression.

Customs tasks
- Prepare and submit import, export and transit Customs declarations for consignments moving by air, road, and ocean freight using ASM Sequoia software.
- Provide project coordinators with advice on Customs requirements and procedures to help ensure compliance with Customs regulations.
- Assist with management and audit of customs records for Momart’s customs authorisations.
- Keep up to date with changes in customs regulations and new systems - attend webinars, courses, and research changes.
- Escalate issues when necessary and seek guidance from senior colleagues.

Shipping tasks
- Prepare freight documentation for import and export consignments moving by air, road, and ocean freight.
- Acknowledge and manage job bookings from project coordinators on AMS, Momart’s bespoke project management system.
- Advise project coordinators of available flights/vessels, routes, freight rates and ancillary charges and recommend the best option.
- Liaising with project coordinators, airport operations staff, and other departments - transport, warehouse, finance - to ensure the smooth running of jobs.
- Negotiation with freight carriers, establishing freight rates and service levels, making freight bookings, and ensuring that the needs of our clients are met.
- Assist with maintenance of freight rates schedules.
- Update costs incurred by Shipping in AMS upon receipt of invoices, liaise with project coordinators to resolve any material undercharging.

In addition to the above, there may be a need for additional support within other Momart departments in times of high workload and to help solve problems. You may also be called upon to work out-of-hours and at weekends.

Training will be provided both on the job and relevant external training is supported.

Skills & personal qualities

Essential
- At least 2 years’ experience within the freight forwarding industry.
- Experience making customs declarations in CHIEF.
- Experience making customs declarations in CDS.
- Knowledge of customs procedures and processes.
- A desire to learn and progress with a career in freight forwarding.
- A methodical approach, with a high attention to detail.
- Excellent computer literacy.
- Well developed numerical and analytical skills.
- Able to work well under pressure and manage time effectively.
- Strong communication and customer service skills both internally and externally.
- Demonstrates a good understanding of Momart’s security programme and their role in it.
- Assists colleagues, customers and suppliers in resolving security issues and escalating where necessary.

Advantageous
- Experience with ASM Sequoia customs declaration software.
- Knowledge of aviation security requirements.
- Experience of both imports and exports.
- Experience of all multiple modes of transport.
- Experience booking sea freight or airfreight with external suppliers.
