Story Scotland currently have an exciting opportunity for a Business Support Assistant to join our team based in the Blantyre office - and there has never been a better time to join

**The Role**

As a Business Support Assistant you will provide administative support to the Blantyre office primarily supporting the People (HR) Team and the Office Management Team. Due to this role consisting of office management support and reception cover, the role will be predominantly be office based with the option to work 1 day per week from home. The hours are 08:00 - 16:30, Monday to Thursday and 08:00 - 15:30 on a Friday.

**Key Responsibilities**:
**People Team Support**
- Maintenance of timely and accurate HR records.
- Support for HR system training and for new starters induction.
- Provide cover for the People Coordinator and People Development Coordinator as required.
- Uploading and maintenance of Training records and expiry dates to Coins.
- Scanning and saving training documents to Coins and HR files.
- Early careers enrolment paperwork with Colleges and Universities.
- Booking Occupational Health referrals over telephone on receipt of referrals, coordinating appointments and issuing reports to the Senior People Partner.
- Uploading and maintenance of new starter qualifications and paperwork to Coins.
- Collecting signatures for Contracts of Sponsorships from new starters on their first day and uploading to Sentinel.
- Organising catering for People Team and Office Management held events.
- Create new starter accounts for our Online E-learning system, LMS.
- Issue authorised health expenses to Payroll in a timely manner.

**Office Management Support**
- Providing reception cover for main reception relief breaks and annual leave.
- Supporting the Office Management team with ordering office stationery, sundries and answering the telephone.
- Taking mail to the local post office when providing annual leave cover for reception (expenses covered).
- General administrative duties to support the Office Manager.
- Provide support to the Office Management team with travel and accommodation booking for colleagues when the main receptionist is on annual leave.
- Provide support to the Office Manager with event planning.
- Provide support with facilities management admin for the Blantyre office.
- Administrative duties to support function departments if required (procurement and finance).
- Other administrative duties as required on an ad hoc basis.
