**TITLE: BRANCH ADMINSTRATOR**
**GRADE: UNISON GRADE 8**
**(04/04/2023 - £27,861 - 29,394 plus LW £6,210)**
**A: BASIC OBJECTIVES**
- To be directly responsible to the Branch Secretary, for the running of the Branch Office, including all administrative systems and secretarial support.
- To maintain and develop systems for advising and supporting Tower Hamlets UNISON members.
- To maintain support for the democratic structures of the Branch - e.g. Branch Committee, Annual General Meeting.

**D: DUTIES AND RESPONSIBILITIES/FUNCTIONAL LINKS**
- **ADMINISTRATIVE DUTIES**:
- To maintain and develop all Branch Office administrative functions including incoming/outgoing correspondence, ordering and distribution of union publicity and other material to members/lay officers, organising and administration of meetings, databases relating to members and lay officers, photocopying, filing, ordering of office supplies.
- To provide secretarial support, information gathering and research for Branch Secretary and other Branch Officers as appropriate.
- To maintain and develop recruitment systems and membership/subscription records for all employers where the Branch has members, with the objective of increasing member engagement and growing membership. This will include the use of WARMS (Unison’s membership system) including regular data cleansing and liaison with Regional and National officers.
- From time to time to offer advice and support to volunteers.
- To maintain and develop Branch lay representative systems, and in conjunction with the Branch Secretary, support the conduct of meetings and UNISON elections, including indicative ballots for industrial action.
- To provide regular reports on membership and recruitment
to Branch officers and the Branch Committee.
- To archive case files and documents in accordance with Branch policies, scanning and indexing where appropriate and destruction of obsolete files. To maintain records of cases in accordance with Branch Secretary instructions and ensure full compliance with GDPR requirements.
- Assist Branch Officers, when required, with the production of publicity and the maintenance of websites.
- Work as part of a team to ensure cover during business hours and deal with functional links (listed below) in a professional manner.
- To undertake additional duties that may arise from time to time commensurate with the grade of the post.
**FINANCE**
- To maintain entries on OLBA (UNISON’s in house finance system) in respect of income and expenditure as required by the branch Treasurer including ensuring all payments are logged along with the relevant cheque numbers/invoices and to extract reports as required in order to support the Treasurer and auditors, undertake a broad range of finance tasks as appropriate.
- To ensure that all financial records are kept in an orderly and secure fashion, assist the Treasurer and Branch Secretary with the end of year accounts and preparation for the auditor.
**HEALTH AND SAFETY**
- To exercise responsibility under the Health and Safety at Work Act and other relevant H&S legislation.

The post holder is contractually employed by Tower
Hamlets UNISON Branch. The post is based on
UNISON’s national terms and conditions, supplemented
and amended by locally determined variations, as
appropriate.
The post is office-based with some hybrid working
available, with very occasional work outside standard office
hours.
