Commercial Sport and Equine Administration

**MAIN DUTIES & RESPONSIBILITIES**:
- Calculate and process invoices accurately in line with contracts and procedures.
- Build and maintain professional relationships with customers, key account holders and the wider College Teams.
- Deliver the crucial organisation of the significant sport fixture calendar, with urgency and attention to detail.
- Undertake a range of administrative and support duties to ensure the planning and delivery of events is successful, including attendance at events when required (including some weekends).
- Accurately process monthly direct debit information and Input membership data accurately on to the membership database.
- Administration of purchases, purchase orders and financial tracking, including quote gathering.
- To lead the organisation of academy sportswear & clothing ordering, monitoring and audit.
- Make facility bookings accurately and ensure maximum facility occupation.
- Create and maintain a facility bookings customer database.
- Support membership sales and retention (newsletters, social media, follow up member expiry, member surveys)
- Maintain and develop accurate databases and provide business critical data upon request with a flexible approach.
- Meeting minute taking including action points and distribution.
- Undertake market research.
- To support and action the development and maintenance of work instructions, policies and procedures
- May sometimes be required to sit on reception, using the till and deal with enquiries.
- Take part in all staff College events such as Lambing Sunday and Open Farm Sunday

The post holder will be required to occasionally work evenings and weekends as agreed with their line manager to assist with events delivery.
**Essential Criteria**
- Good level of general education to GCSE level or equivalent at grade C and above (including Maths and English)
- At least 12 months experience in an admin/ Front line/facing customer service provision
- Experience of handling a fast paced, everchanging environment
- Providing excellent customer service to a range of stakeholders
- Working with processes and following procedure
- Knowledge of office / administrative procedures / filing systems
- Able to confidently use excel spreadsheets successfully is essential
- Excellent written and oral communication skills
- Excellent customer care skills
- Excellent computer literacy skills
- Ability to analyse, interpret and summarise numerical and written information, for use in a variety of ways
- Ability to understand commercial agreements with support
- Ability to use own initiative to solve less routine queries

- High level of accuracy and attention to detail in the preparation and presentation of work
