You will interact with staff at all levels and deliver accurate, appropriate and timely HR support, advice and documentation in line with University policy. You are expected to demonstrate generalist HR knowledge and skills and your key responsibilities will be recruitment, all aspects of the employee life-cycle and payroll changes through the online HR system, in line with monthly deadlines. You will support international recruitment and will be required to be fully conversant with the current UKBA immigration and visa regulations. Training will be provided in this complex area.Main Responsibilities:
**Recruitment and Pre-**e**mp**l**o**y**ment admini**s**tr**a**tion**
- To work with Principal Investigators, Line Managers and employees to plan, prepare, draft and amend adverts and job descriptions
- Ensure appropriate authorisation has been given for any post liaising with the NDCN Research and Finance teams details to ensure funding is available and correct procedures are followed prior to the post being advertised.
- Manage the grading process for new posts
- Advertise and manage vacancies on University website, utilising the PeopleXD e-recruitment system.
- Liaise with University’s external advertisement partners when required, providing knowledgeable advice about advertising mediums and costings to the recruitment managers.
- Offer selection and interview support as may be necessary. To act as the administrative representative for interview panels.
- Prepare standard letters of appointment and contracts and ensure relevant right to work documentation, Occupational Health and ID checks are completed

- Accurately maintain all confidential personnel files
- Prepare variation to contract letters where appropriate, including but not limited to: extension to fixed term contract letters, variation in hours, family leave confirmation letters etc. using the PeopleXD HR information system.
- Administer the department’s main payroll process: complete all monthly payroll changes on PeopleXD HR, ensuring that the correct funds are utilised, making use of the PeopleXD HR payroll reports to check data entry and queries, highlighting and resolving any funding issues with the Head of Administration and Finance, and adhering to the University’s deadlines
- Maintain correct data for the HESA return and quarterly HR Data return and run reports from the HR database to inform planning
- Co-ordinate the Reward & Recognition scheme paperwork
- Monitor fixed term contract processes, sick leave absence records, annual leave records, end of probationary periods and annual appraisal dates and highlight any issues to the HR manager.
- Produce EJRA and retirement reports using the PeopleXD HR system identifying staff reaching retirement age and discussing these with the HR Manger.
- Act as secretary to the Department’s People and Culture Committee, co-ordinate meeting dates, compile the agenda and papers, taking minutes, and ensure all required information is circulated to committee members in a timely manner.

**Selection Criteria**:

- Educated to at least A-level standard or equivalent
- Experience of working in an HR team/ generalist HR role
- Excellent communication and interpersonal skills, with the ability to communicate effectively and confidently with people at all levels both in writing and verbally
- Demonstrable ability to prioritise workload and produce accurate, detailed work within deadlines
- Experience of providing a high level of customer service
- Proven IT skills with experience of working with databases (ideally PeopleXD) and entering data accurately.
- Proven ability to work effectively both independently and as a member of a team.
- The ability to handle confidential material appropriately, together with an awareness of data projection and information security guidelines.
