JRRL are looking for an Office Manager to join this growing organisation based in Sidcup.You would be supporting Directors in organising and coordinating office operations and company procedures in order to ensure effectiveness and efficiency, as wellas acting as a Gatekeeper for Directors, assisting with personal requirements and event planning.

**Duties for the Office Manager**

**Facilities Management**:

- Ordering office supplies; being responsible for the photocopier, franking machine, kitchen supplies, milk and post.
- Oversee maintenance of air conditioning/heating system, alarm system and door entry.
- Responsible for the phone system including mobiles, direct line and extensions which include automatic phone system and recorded messages. Contacting suppliers if issues occur.

**Health & Safety**:

- Ensure company insurances and accreditations are kept up to date and issued to clients on renewal.

**Fleet Management**:

- Manage insurance renewals and additional drivers; maintain records on driving licences, checking every three to six months; correspond with insurance companies, brokers and DVLA on accidents/incidents; manage servicing, MOTs, accidents and repairs.
- Manage tracker reports.

**General Duties**:

- Working with section managers and will assist when staff issues arise.
- Assisting the HR Manager on occasion.
- Completing forms for new procurement agreements and new supplier accounts.
- Update staff with any changes.
- Assist with telephone enquiries.
- Ensure complaints are resolved according to SLA.
- Manage outgoing post; manage info mailbox and distribute.
- Organise company events for Christmas and summer.
- Monitor office credit card transactions and purchase materials with authorisation.
- Assisting management in the gathering of information for ISO renewals.
