The role sits within the context of providing a high-quality Continuing Healthcare (CHC) and Funded Nursing Care (FNC) service as well as Joint Funding Complex Case Teams within Lancashire & South Cumbria ICB. The service has a strong population focused ethos and a culture of continuous improvement. The service delivers assessment, care planning, commissioning and placement, quality and performance monitoring of provision, market management and development. The post holder will work closely with the Associate Director of CHC in the ICB.

The post holder will deliver a high quality, professional administrative support and secretarial service to the senior management team of the department and support for the wider team. The post holder will deliver a “client-focused” service which promotes good customer service and effective working relationships.

Key Working Relationships

**The post holder will**:

- be required to maintain constructive relationships with a broad range of internal and external stakeholders.
- participate in relevant internal and external working groups/projects, services, and initiatives to provide, information and analytical advice to strategic leads.
- work with members of the Team to develop and implement project data collection systems that will provide accurate and timely data.
- communicate information and issues, including briefings and reports, to job manager, strategic lead/ strategic manager as appropriate.

Directorate management responsibilities
- Act as first point of contact within the department, dealing with routine and specialist enquiries in a pleasant and professional manner, communicating relevant information to stakeholders, referring to others as appropriate.
- Provide effective administrative support to senior management in the directorate. Organise and plan diary commitments including scheduling formal and complex meetings being aware of deadlines and priorities.
- Support the co-ordination and the preparation of Board reports for senior managers as necessary.
- Help to organise new starters to the directorate. Demonstrate office systems and department requirements to new staff members.
- Maintain secure confidential personal folders on behalf of the director for staff within the directorate. Such information includes medical and self-certificates, special leave forms and new starter information such as emergency contact details, ESR forms, correspondence and other such personnel information, liaising with HR where appropriate.
- Maintain the staff attendance record (SAR) for the directorate and report as required to the governance team. This will involve collating staff attendances and making sure that all attendances are reported to the governance team in a timely manner according to strict deadlines.
- Participate in and support any projects or assignments as agreed with the senior management of the directorate.
- Provide a key link between managers and the directorate head of service to ensure that programmes of work are coordinated effectively and deadlines are met.
- Co-ordinate the rolling programme of Performance and Development reviews for direct reports including scheduling all meetings.
- Understand the spectrum of work that the heads of service are involved with in order to take appropriate decision in their absence with regards to arranging cover as required in periods of sickness or leave.
- Collating and formatting data for senior managers, undertaking research where required in order to provide support
- Work with other directorate administrators to ensure consistency in standards and reduce any duplication of processes across the ICB.
- Maintain the high profile, standards and quality of governance in directorate business both internally and externally.
