The team consists of ambitious, entrepreneurial individuals who have a passion for people, fun and community. We’re looking for someone to join our Head Office Team and provide administration support to our Facilities Manager and Campus Managers across the portfolio of properties.

As Property Administrator you are often the face of TCN to our staff, investors and occupiers. Key responsibilities of the role:
**Lease Administration**
- Issuing direct debit links
- Drafting and issuing new lease packs / renewals.
- Ensuring the Lease administrative process is followed in a timely manner.
- Updating councils for new and existing leases
- Updating Companies House
- Updating plans with Architects
- Updating all letter pro forma templates
- Bank consent for leases
- Checking for completion monies and coordination of lease completions.
- Move out documentation and deposit returns
- Updating lease tracker
- Updating tenancy schedules
- Creating new leases on Voyager
- Terminating leases on Voyager

**Facilities Administration**
- Supporting the Head of Facilities to set up and champion a new Health and Safety training and compliance system
- Maintaining policies, procedures and forms and monitoring use of the system
- Produce minutes and actions from Operations meeting
- Produce and collate H&S related reports

**Finance Administration**
- Member billing queries
- Producing copy invoices for members
- Dealing with Member invoice queries
- Managing Deposits on Voyager, and tracking deposits.

**Insurance Administration**
- Insurance renewal and processing with our Brokers.
- Saving ad hoc insurance documents

**Rates Queries**
- All business rate queries / updates
- Tracking all rates liabilities/notifications to LA for changes of occupancy.
- Mitigation tracking and coordination.

**Personal Skills and Experience**
- A logical approach to administrative tasks, keeping accurate records and efficiency in following up on regular key tasks.
- Keen to learn new working systems and methods.
- Experience of Commercial property leases and commercial property management support would be an advantage but full training will be given
- Excellent IT skills, proficient in Office 365, particularly Sharepoint, Word, Excel, and Outlook. Use of Property Management systems such as Voyager would be an advantage.
- Demonstrate a proactive, can-do, approach with diplomacy patience and humour.
- Demonstrate the ability to resolve issues in a proactive manner, offering solutions and taking responsibility for the designated tasks.
- Have the ability to work autonomously.
- Be resourceful and creative in problem solving.
- The ability to deal with members (Tenants) in a diplomatic way, being firm, fair and helpful at all times.
- Enjoy multitasking and dealing with the unexpected professionally.

**Job Types**: Full-time, Permanent

**Salary**: £28,000.00-£30,000.00 per year
