Job description

**Main duties**:
**Debt control**
- Chase clients for payment of open invoices, ensuring that callback dates & payment dates are followed up
- Escalate any concern accounts to directors
- Close out old accounts
- Respond to invoice/account related queries, send additional supporting information as requested (eg worksheets)
- Track and monitor payment notices, reconcile differences and chase up
- Vet new clients
- Report weekly to Directors on current status of accounts
- Keep a diary with all financial deadlines and dates & support Directors to ensure these deadlines are met - eg VAT return dates, Company year end accounts deadline dates, PAYE/CIS bill due dates, H & S accreditation renewal dates, insurance renewal dates,etc
- Categorise banking transactions

**Purchasing**
- Maintain Suppliers database and source new suppliers as required
- Negotiate renewal rates for key expenses and negotiate terms and rates with Suppliers
- Monitor supplier accounts and invoices
- Check supplier invoices and pay within agreed timeframe
- Purchase office supplies/ equipment as needed
- Order uniform, PPE, etc as required
- Process orders of materials and machine hire as needed
- Maintain vehicles and assets register; carry out administrative tasks associated with our fleet, eg paying for parking, etc

**General**:

- Supporting the Directors and Office Manager with ad-hoc duties as required to maintain the smooth running of the business

**Attributes**:
Previous experience as a Credit Controller is desirable
- Confident dealing with people
- Approachable, helpful and creative, keen to solve problems

- Exceptional attention to detail
- Must thrive on working and delivering consistently high standards under pressure and in a fast paced environment
- Administrative experience
- Using Microsoft suite of Office programmes; Inc. Excel, Word, and Outlook
- Proactive and methodical
- Ability to act on his / her own initiative.
- Good oral and written communication
