**What are we looking for?**

We currently have an interesting opportunity for a Site Administrator, to join our Solutions Engineering team. It will be the duty of this role to optimize and streamline team members' administrative procedures, especially when working on a project. As well as facilitate seamless administrative coordination and collaboration between the four sub-teams of our pan-European engineering department.

Due to the nature of the position, some travel to and from locations across the UK is necessary. The person can be stationed at home, but there is also a requirement for an onsite presence for site launches.

**What will this role consist of?**

This role will be responsible for all administrative tasks, to assist the solutions engineer’s workload. This will include, but not limited to the following:

- Chasing for all paperwork, documentation, and purchase orders
- Communicating with both internal and external stakeholders or clients
- Prepare and support with preparation of project documentation.
- Support the administration of work logging software, I.E Jira
- Keeping all systems and excel spreadsheets up to date.
- Obtain quotes and do comparison checks.
- Streamline and suggest improvements for all current processes.
- Ensure that common documentation and process standards, adhere across the European team.

**Qualifications & Experience**:

- At least 2 years’ experience within an administrative role
- Coming from an engineering, logistics or industrial background would be beneficial.
- GCSE or Equivalent, grade B+ in Maths and English
- Business Fluent German would be desirable.
- Familiarity with transport portals such as Egencia, Travel Perk, SAP and Concur
- Familiarity with SAP Business Management Ecosystem
- Excellent communication, organisation and prioitisation skills Ability to work well as an individual and as a team.

**About the Role**:
**How you will contribute**
- Completion of all daily reports in a timely manner including all client / vendor reports to ensure SLA’s are met or exceeded.
- Ensure all daily/weekly/monthly reports are completed accurately and sent in a timely manner.
- Liaise on a daily basis with customer contact external and internal.
- Control flow of contract paperwork for new vendors.
- Maintain weekly billing files in conjunction with the finance department.
- Attend customer review meetings, both on and off site.
- Ensure that client complaints are handled in-line with SLA.
- Escalation point of contact with client / vendor / carrier for all customer service related issues.
- Other duties as assigned

**Your Key Qualifications**
- HS Diploma required, College degree preferred.
- Must be able to follow through on all assignments.
- Meet deadlines consistently.
- Strong office administration skills including complete knowledge of Microsoft Office.
- Professional, accurate & precise, ability to manage multiple tasks.
