PURCHASING ASSISTANT

Job purpose
The purchasing assistant is responsible, under the supervision of the Buyer, for purchasing the best quality goods and services for JW at the most competitive prices within a global market and should ensure the right products are delivered to the right location and on time.
- The purchasing assistant will be fully trained on forecasting levels of demand for materials to meet the business needs and keep a constant check on stock levels, introducing technology and systems where appropriate, for both internal and external customers
- Knowledge of national and international import legislation is preferred, although training can be offered, in order to purchase goods within legal frameworks following the HMRC system through to conclusion
- A keen eye for detail is required to ensure accurate cost systems are in managed and can be consistently evaluated and communicated as necessary and that all administrative tasks associated with the role are conducted with care and precision
- Effective and accurate communication skills are paramount to enable clear direction of information between suppliers, manufacturers and relevant internal departments for example, lead times, delivery schedule, price changes, product changes and promotions
- Co-ordinate, organise and prioritise own workload with consideration for the team
- Identify and recommend new or improved technology and processes in order to develop the effectiveness of current systems

Detailed responsibilities include, but are not limited to:
Use Sage 1000, and the data contained within, to carry out the following tasks:

- Check stock report data
- Raise purchase orders
- Receipt goods inwards
- Data management of supplier and product information
- Review and amend minimum stock levels

Communicate with suppliers in a professional manner in order to respond to:

- Order acknowledgments
- Delivery dates
- Invoices
- Arrange and confirm direct deliveries
- Deal with any product issues/complaints

Liaise internally with colleagues in a friendly and polite manner to achieve the following:

- Confirm stock availability
- Request collection of orders
- Discuss available warehouse space
- Following our Quality Management System
