The purpose of this position is to support the Purchasing function in all expediting activities and the shipping function in exporting and importing activities including any related transactions. Liaising with the Design, Production and Quality teams and supportingrelevant matters towards achieving an efficient and cost-effective process for expediting goods, equipment, materials and services.
The Materials Administrator is responsible for ensuring all information provided is legible, timely and accurate, as well as being sufficiently detailed to ensure that purchased items are correctly delivered, answering any product queries from the supplier.Supporting the Lead Buyer, this position will drive to ensure the business budget is achieve in a challenging and difficult supply chain.
The responsibilities of the Materials Administrator include:

- To support all supply chain activities in order to meet delivery deadlines.
- Record information necessary to report on KPI results in relation to costs, delivery and quality performance were necessary.
- Contribute towards ongoing cost reductions from within the supply chain including the examination of any opportunities likely to support longer term procurement strategies.
- Expedite overdue orders and communicate to relevant stakeholders.
- Confirm ordered items are being delivered to plan in advance
- Support After-Sales to ensure shortages are processed to support the Aftersales budget
- To support the Shipping Department in ensuring documentation is correct and available when required. Communication
- To maintain regular communication with suppliers to ensure the on-time supply of materials, goods and equipment, minimising inventories and ensuring contractual obligations.
- To facilitate the expediting of emergency requirements that may arise.
Knowledge and experience required of Materials Administrator:

- Be innovative and self-motivated, have a basic level of engineering knowledge, a flexible can-do attitude and be able to work in a multi-disciplinary team towards meeting timescales and budgetary deadlines.
- Be dynamic in their approach when faced with a challenging supply chain
- Be proficient in the use of MRP ordering systems
- Be able to juggle competing demands
- Be a competent user with Microsoft Word
- Be an intermediate level user of Excel
- Be able to demonstrate successes in developing supplier relationships
- Be a good team-player and equally capable working under own initiative
- Have experience of reading technical drawings
- Have an understanding of Export and Import requirement such as Incoterms
- Possess suitable qualifications for the position, ideally CIPS International certificate, with good communication skills
- Have worked in a Continuous Improvement environment and have experience of introducing process improvements
