**RESPONSIBLE FOR**:The post holder will be responsible for the roles of Estates Trade / Support Staff and Contractors.

**WORKING RELATIONSHIPS**

**INTERNAL**:Divisional Estates Lead, Estates Manager, wider Facilities and Estates Team, Direct Labour force management

**EXTERNAL**:Manage Contracts/Contractors, Suppliers

**JOB PURPOSE**

To assist the Estates Manager in the management / co-ordination and supervision of all maintenance and improvement activities provided by the Facilities and Estates Directorate. To manage the direct labour and contractors on a day to day basis. Manage maintenance services for the divisions portfolio, including out-of-area properties assigned to such. The post may be required to support all Trust and Partners sites from time to time. Ensure a flexible approach to efficient and effective Facilities and Estates services is promoted and standards are met.

**KEY RESPONSIBILITIES**

- Ensure the efficient and safe operation of building services and fabric.
- Manage the Estates team - e.g. Trades and Support Workers.
- Undertake Competent Person roles as required
- Manage appointed contractors on a day-to-day basis
- To operate and issue permits to work and other safe systems of work.
- Supervise and organise the planned and responsive day to day operational services for maintenance and minor works.
- Ensure customer liaison with Ward Managers and Heads of Department are promoted as regards contract standards and services.
- Responsible for ensuring services are undertaken in compliance with agreed contract, SLA standards, statutory and mandatory requirements.
- Promote a value for money culture within the team and an understanding of Quality/Cost/Frequency and Standards.
- Through the use of a structures process ensure that services are planned, rotas are updated and service needs are regularly revised to ensure best fit with the standards, contracts, service level agreements and general customer requirements.
- Provide monthly update report to the Estates Manager.
- Personally undertake general craftsperson and maintenance support worker duties to ensure continuity of service provision on an ad-hoc basis.
- Responsible for ensuring timely completion of PPM (Planned Preventative Maintenance) and reactive works, including any associated documentation / recording requirements.
- Utilise FM software (e.g. MICAD) reports to ensure adequate operative resourcing to complete PPM and reactive works.
- Utilise electronic systems such as e-procurement for ordering supplies / contractor services, eroster for staff expenses / claims / leave, ESR for staff records, etc.
- Maintain and ensure an adequate trade on-call rota
- Review contractor returned documents (paperwork or electronic) and take actions as appropriate.

- Identify and review planned preventative maintenance programmes.
- Promote the involvement of staff in reviewing maintenance and minor works services within the theme of Value for Money and introduce improve working practice.
- Undertake training as required.
- Undertake Authorised Person, Responsible and competent person roles as required in accordance with HTM’s.
- Supervise programmed schemes such as painting programmes and water/electrical remedial action plans.
- The post holder is expected to have a clear understanding and share the Mission, Values and Behaviours of the Trust which defines our culture. All staff are required to promote and adhere to these.

- Responsible for maintaining own core competences and CPD register along with supporting department wide training and development needs.

- Input electronic timesheet data and verify/approve teams in such systems.
- Authorising staff leave.
- Carrying out staff appraisals and ensure completed in line with policy KPI’s.

- Monitor sickness and carry out reviews as required.
- Communicating and cascading relevant information to staff and team, some of which may be complex with barriers to understanding Delivering Directorate Training as required.
- Disciplinary, grievance and performance matters.
- Ensuring that duties are planned, managed and operated across the locality within a concept of flexibility, efficiency and customer care.
- Ensuring that team members comply and adhere to all relevant policies and procedures.
