The main function of the Workplace Experience Facilitator is to prioritise colleague experience, whether working in-person, remote or hybrid.

You will play a vital role in assisting the Workplace Experience Manager (WEM) in the provision of high-quality effective colleague experience, including ensuring effective space management, the office design is desirable and promotes productivity, ensuring that colleagues have the tools needed to collaborate. A key part of the role is to be able to deputise for the WEM so a high-level of understanding of how the workplace is managed is essential to cover for absences.

Colleagues should expect their experience be equal across in-office and remote working, whilst asking you to role model the values and behaviours **Be Accountable, Act with Integrity** and continually look for ways to **Make a Difference**

**What you'll be doing**:

- Provide an enhanced workplace experience to colleagues and visitors to our offices to ensure we are providing a 5-star service.
- Welcome our new starters by providing an induction to our services and site tour.
- Interact with colleagues daily by walking the floor, working in different parts of the office, and ensuring you are known, rather than sitting in a static location.
- Help colleagues to be productive in pursuit of their business priorities by being proactive (not reactive) in the approach to our working environments (see things before others do and fix them).
- Ensure meeting rooms are fit for purpose and provide the right technology to allow colleagues to collaborate effectively, especially in the use of Teams Suite equipment.
- Actively participate in and drive local environmental campaigns and encourage colleagues to get involved.
- Ensure the effectiveness of our services by delivering our Workplace Experience survey to gauge colleague feedback. Review weekly feedback and constantly look for ways to improve the workplace experience.
- Role model our values and behaviours **Be Accountable, Act with Integrity** and continually look for ways to **Make a Difference.**:

- Oversee weekly lunches to ensure they provide an enhanced service, but more importantly are displaying allergens, are safe to serve and colleagues are getting a great lunch experience.
- Ensure there is limited impact to colleagues on any Landlord or Capita FM activity and constantly monitor to ensure there is little or no impact to productivity.
- Work closely with the On-boarding and Induction teams to ensure our new starters have a seamless welcome on their first day and induction group day. Coordinate with the team to provide refreshments.
- Measure occupancy, lunch (costs and headcount consumption), meeting room/collaboration furniture use/occupation, survey dashboard and commentary.
- Ensure on site contractors complete RAMS with full involvement and liaison with our Health & Safety Manager.
- Take on the role of First Aider and Fire Marshall.
- Ensure awareness of access control/occupancy/CCTV software and any relevant reporting.
- Ensure security protocols as set by the Security team, are delivered effectively by Receptionist
- e.g., Managing, and issuing access passes to new starters, visiting colleagues, visitors, and contractors.
- Oversee receptionist and cover for absences.
- Maintain building management maintenance jobs log, to understand what issues are occurring and ensuring any reported issues are actioned within the agreed SLAs.
- Own SmartNet and SharePoint updates for your locations.
- Raise POs for the sites and cover for department during absences. GRN goods in timely manner.
- Starter, mover & leaver administration including Locker allocation and monitoring.
- Travel system administrator.
- Any other duties as deemed essential to ensure the smooth running of the workplace.
- Deputise for the WEM to manage location during absences, including first point of contact for out of hours emergency issues.

**What we're looking for**:

- IWFM qualification or currently studying for an IWFM qualification.
- Previous experience of working in a customer facing role where colleague experience is prioritised.
- Previous FM experience.
- Excellent communication and organisational skills.
- Ability to prioritise multiple customer requests.
- Experience working in a fast-paced environment.
- Must remain calm, courteous, and polite in all circumstances.
- Demonstrable ability to understand and improve existing processes and procedures.
- Ability to accurately complete tasks, assignments, and responsibilities in timely manner.
- Proactive and uses initiative.
- Dependable and flexible.
- Able to work independently as well as part of a team.
- Responsive to customer requests in an empathic, supportive, and productive manner.
- Possess a high level of IT literacy.
- First Aid at Work and Fire Marshal qualification advantageous.
