**Absence Administrator**

**Core purpose**:
As a member of the wider Administration Support Team, and under the supervision of the Office Manager, the Absence Administrator is to provide efficient and effective administrative and clerical support to the school, with a specific responsibility for allocation of cover.

**Key Responsibilities**:

- The post holder will work closely with the Senior Leadership Team and be responsible for the administration of the cover management system forTeaching Staff Absence (Cover)
- Responsible for the management and organisation of daily arrangements for the cover of absent teaching staff (and support staff responsible for covering lessons), using SIMS Cover software, ensuring that the daily cover list is published by 8:00am each morning.
- Check the voice mail box each morning for staff absences notified overnight and receive calls from absent staff
- Make changes to cover during the day, in response to unforeseen circumstances
- Liaise with the SLT and Finance Team to work within the cover budget ensuring that cover for teaching staff is provided in a cost-effective manner and that costs are on budget throughout the year
- Supervise the allocation of duties to the internal Cover Supervisors/Department Assistants in the most cost-effective manner having regard to the demands of the curriculum and the Cover Supervisors’ individual areas of expertise
- Liaise with supply agencies ensuring that all regulations in relation to the employment of supply staff are complied with (e.g., safeguarding, Health, and Safety, pay arrangements)
- Supervise the allocation of duties to supply staff, and be responsible for welcoming them to our school and providing them with all relevant information and policies
- Contact and liaise with supply teachers or supply agencies to hire supply staff to cover absences. Ensuring strict safeguarding rules are adhered to and liaise with HR Team in relation to the Single Central Record
- Maintain liaison with teachers used for providing supply cover in the school
- Organise and administer room change requirements ensuring that arrangements are publicised to all relevant personnel
- Responsible for ensuring lesson planning and resources are available and distributed to supply/cover staff
- Administer requests for cover from teaching staff which have been approved by the relevant member of SLT and enter these in the diary

**Associated Duties**:

- To deliver general administrative support to all stakeholders to include, but not exclusive to the Finance and Exams Teams
- Work cooperatively as part of the admin team, managing your own workload to meet demands and deadlines, ensuring the completion of tasks.
- General clerical / administrative duties
- Supporting the administration and systems for Parents’/Tutor Evenings, Presentation Evenings, and other school events, including the collation and reporting of parent voice surveys
- Data processing and summarising/reporting
- Provide cover at the school’s reception desk, as and when required, ensuring a professional and welcoming environment, including being the first back-up for incoming phone calls
- Knowledge of the school’s SIMS system to process general SIMS reports, as required

- To carry out other general administration as instructed by line manager
- Comply with all relevant Health and Safety processes as required by the school’s Health and Safety systems
- Liaise with internal staff (teachers/ senior management team/ middle managers/ other support staff) and external agencies as required by the elements of the role
- Be aware of and support diversity and ensure all young people have equal access to opportunities and are provided with a safe and non-threatening learning environment.
- To deal with any emergencies in accordance with the school’s policy and procedures.
- Contribute to the school ethos, aims and development/improvement plan.
- Be aware of and comply with all the School and Trust’s policies and procedures especially relating to child protection, health and safety, security, confidentiality, and data protection, reporting all concerns to an appropriate person in a prompt manner.
- To report all safeguarding information and concerns to the Designated Senior Leader. This should be completed promptly, factually, and in line with the school’s confidentiality requirements.
- To attend statutory training as and when required.
- Undertake any reasonable duty deemed necessary by the Line Manager / Senior Leadership Team.
