Medical Secretary

The post holder will support the medical and administrative teams within the Emergency Department (ED), promoting optimal patient experience.
We are looking for a self-motivated individual who can work effectively to deliver a high quality and efficient secretarial/administrative service to the consultants and clinical staff within the Emergency department based at the Princess Royal University Hospital site. Excellent communication skills, both written and verbal are required.
- Maintain the Clinical Governance documentation.
- Deal with departmental post and deliveries.
- Maintain oversight of the General Enquiries inbox.
- Working with the Symphony system to look up CAS cards, Discharge notes etc
- To deals with requests from external agencies who request copies of notes and witness statements.
- To deals with reports sent by the radiology department.
- To ensure action trackers, agendas and associated paperwork for committee meetings are on the shared drive.
- To ensure general stationery (paper clips, pens, etc) are ordered ideally weekly or at least fortnightly.
- To raise order requisitions via Oracle and KFM systems for items required within the Emergency Department.
- Participate in audit activity as directed.
- Other relevant administrative tasks.

- The post holder has a general duty of care for the health, safety and well-being of work colleagues, visitors and patients within the hospital in accordance with the Health & Safety at Work 1974 in addition to any specific risk management or clinical governance accountabilities associated with this post.
- The post holder will carry out their duties with due regard to the Trust’s Equal Opportunities and Diversity Policies, Standing Financial Instructions, the requirements of the Departmental Quality system and other relevant Policies of the Trust
- To observe the rules, policies, procedures and standards of King's College Hospital NHS Trust together with all relevant statutory and professional obligations.
- To maintain strict confidentiality of staff and patient records, in line with Trust Policy ensuring that acceptable standards of data protection are maintained, in accordance with the Data Protection Act. Any unauthorised breach of confidentiality will result in disciplinary action.
- To be fully aware of the Trust’s Safeguarding Procedures and demonstrate the ability to raise concerns to protect our patients.
- To undertake any other reasonable duties appropriate to the grade which may be required.
