Respiratory Administrator/booking Clerk

The post-holder will help to co-ordinate and provide administrative support to the sleep diagnostic and treatment services for King’s College Hospital (Denmark Hill). They will assist in the management of a growing caseload of approximately 2000 patients that are receiving either continuous positive airway pressure (CPAP) or bi-level positive airway pressure (BiPAP) treatment for sleep disordered breathing that require annual review and follow up.
They will manage the waiting list and the booking of appointments for lung function and will provide additional administrative support for the lung function service when required.
There is requirement to cover one of the two reception areas.
In addition, the post-holder will provide support to the bronchoscopy and pleural intervention services within the department.

Diagnostic Sleep Service
- Making appointments and sending out letters of confirmation for diagnostic sleep studies and lung function tests.
- Re-arranging of appointments as required.
- To ensure that all patients are compliant with the 6 week diagnostic waiting times and to assist with ensuring that this target is met.
- Sending out sleep study diagnostic equipment by post and ensuring its return
- Chasing up sleep equipment that is not returned.
- Collecting sleep equipment from wards when patients have undergone sleep studies as inpatients.
CPAP/ BiPAP Treatment
- To schedule appointments for the setup of CPAP and BiPAP treatment for sleep disordered breathing. Making appointments using the patient management system and ensuring the maintenance of data quality. Sending out appointment letters and accompanying information letters.
- To be the first point of contact for patients receiving CPAP and BiPAP treatment.
- To maintain the CPAP and BiPAP patient databases.
- To compile a monthly list of both new and annual review CPAP and BiPAP patients that have attended to allow for remuneration for the service
- To co-ordinate and book the required annual review for each patient receiving CPAP and BiPAP treatment.
- To make telephone contact with patients to reschedule if they do not attend for their treatment or annual review appointments.
- Sending out consumables for CPAP/BiPAP treatment as required ensuring that this is documented in the database.
Lung Function Service
- Making appointments using the Trust’s PIMs system and ensuring the maintenance of data quality. Sending out appointment letters and information leaflets for lung function tests;
Bronchoscopy and Pleural Intervention
- Making appointments and sending out letters of confirmation along with patient information booklets;
- Taking patient information leaflets to in-patients that are due to undergo bronchoscopy or pleural procedures;
- Responsible for the Bronchoscopy and pleural waiting lists, inputting waiting list details onto PIMs and offering a TCI date;
- Responsible for admitting and discharging patients on PIMS attending for bronchoscopy and pleural intervention;
To provide support to the Respiratory Physiology Team when required to include:
- Providing reception desk duties including greeting of patients, checking identity and arriving and departing patients on PIMs
- Answering the telephones and dealing with enquires from staff and patients. Answering patient’s queries or redirecting calls to the appropriate person;
- Procedure coding and closing off relevant referrals on PIMs for patients that have attended their appointments;
- Scanning of results in to the EPR system;
- Sending invoices for tests performed on private patients.
