Our client is currently looking for an experienced **Office Coordinator** to join their** Prime Property Management Department in Little Venice.** **This is a **beautiful and popular location** in London, centred on an area of** decorative houseboats and a tree-lined, three-way junction of canals.**

You will be **supporting the effective running of PLMS** **(Portfolio Landlord Management Service) department by providing **organisational and administrative support.**

**Responsibilities will include**:

- Answering mainline and allocating calls accordingly
- Reducing the level of contractor debts through checking of weekly spreadsheet and dealing with any queries
- Keeping thorough file notes of every action and conversation with suppliers, Landlords and Tenants
- Assisting with any other ad-hoc tasks required by the team
- Providing a same day typing service for department, including standard letters, check ins/outs and fee invoices
- Advising all utility companies of every Tenancy change
- Being responsible for updating the department statistics and liaising with the Finance department
- Producing rent arrears reports, pursue and collect rental payments from the Tenants in accordance with instructions from the team
- Arranging property visits for the department with the Tenants
- Chasing up service charge and final utility bills from the necessary agents and suppliers
- Liaising with utility suppliers regarding any bill queries to ensure accurate payments
- Managing check in / check out appointments for the start / end of each Tenancy and obtaining end of Tenancy details from vacating tenants
- Participating fully in the buddy system in the absence of other team members
- Assisting with dealing with other Letting agencies, Landlords and Tenants in regards to managed Tenancies and the paperwork involved in new deals, renewals and tenancy swaps
- Assisting with producing monthly reports for portfolio Landlords
- Preparing for own quarterly review
- Ensuring that all work areas are clean / tidy / free from obstruction and that the department clear desk policy is upheld.

**Key attributes**:

- Property administration experience would be preferred
- Experience working with high net worth individuals
- Time management skills of planning, prioritising and organisation
- Communication skills
- Computer literacy
- Problem solver and multi tasker
- Good knowledge of excel/ spreadsheets.
