**FULL TIME MEDICAL SECRETARY**

**JOB DESCRIPTION - NOVEMBER 2023**

**1. Introduction**

West Kent Cardiology Partnership is based at 72 Warwick Park, Tunbridge Wells and provides clinical services for patients with known or suspected heart and circulatory diseases.

Out-patient services are provided at 72 Warwick Park. These include:

- Clinical consultations
- Exercise stress testing
- Echocardiography
- Ambulatory ECG and blood pressure monitoring
- Insurance medical examinations

The Secretary will work closely with the administration/secretarial team and nursing staff to ensure the smooth, efficient and effective running of the practice.

The current partners are Dr Clive Lawson (Consultant Cardiologist), Dr Derek Harrington (Consultant Cardiologist) and Mrs Nicola Lawson (Practice Manager) who comprise the Management Committee and to whom this post reports. Other staff employed by the Partnership are:

Dr Tim Williams and Dr Smitha Pulipalli (Consultant Cardiologists) are associates of the practice and undertake consultations/echocardiograms at 72 Warwick Park.

In addition, the following Partnership Associates perform investigations for the Partnership:
Dr Clive Dewing Exercise stress testing and medical examinations

Dr Kuno Budack Exercise stress testing and echocardiography

Mr Adam Jackson Exercise stress testing, echocardiography

Mrs Jennifer Walker Ambulatory ECGs analysis

Our Practice Nurses are:
Mrs Diane Kidman

Mrs Chloe Bates

**4. Duties**

The following is a list of the principle duties of the post of Secretary:

- **Secretarial duties**_

Audio typing of clinical letters and procedure reports

Preparing and maintaining medical records

Answering telephones

Taking phone payments
- **Patient Administration**_

Booking clinic appointments

Booking investigation appointments at 72 Warwick Park

Booking procedures at other institutions

Obtaining investigation results

Serving as a liaison between patients and their medical insurers
- **Patient billing for**_

Consultations

Clinical investigations performed at 72 Warwick Park

Clinical procedures performed by the Partners at other institutions
- **Reception duties**_

Greeting patients, suppliers and visitors

Registering patients on the Partnership administration system

Taking payments by credit and/or debit cards

Answering telephones

**NB It is anticipated that the post-holder will provide reception cover for one evening clinic per week**
- **Chaperone Duties**_

As needed

The above is not an exhaustive list and the post-holder may, from time to time, be asked to perform additional duties to ensure the smooth running of the Practice. The duties of this post overlap substantially with those of the other administrative staff employed by the Partnership: it is essential that the post-holder liaises closely with other members of staff to ensure the efficient running of the practice.

**5. Applicant requirements**

The ability to undertake audio typing is essential for this role

Experience of using Practice Manager software and working in the private sector would be beneficial but is not essential

**6. Working Hours**

This is a full-time post and the post-holder will be expected to work a 37 hour week. Because of the nature of the work undertaken by the Partnership, flexibility in respect of working hours is expected including occasional weekend working covering Saturday morning clinics. Starting and finishing times will be arranged by discussion with the Practice Manager. Weekend work may be paid as overtime or taken back as time in lieu.

The post-holder will be automatically enrolled in the workplace-based pension scheme unless they choose to opt out.

**9. Leave**

The full-time entitlement is 25 working days with pay per year plus statutory holidays.

**10. Private medical insurance**

Subject to a successful 6 month probationary period, the opportunity will be given to join our private medical insurance scheme.

**Salary**: £22,383.00-£27,596.00 per year
