Examinations and Administrative Assistant

The post holder will be an integral part of the Examinations Team and supported to develop a detailed knowledge of examination administration requirements. The post holder will also make a significant contribution to central administration of the whole School and as such, must be able to work flexibly especially as the main examination season approaches, be able to plan, prioritise and manage their time effectively.
Term time only plus 15 days to include results days and period surrounding at Examination and Data Officer's discretion.
**Overview**
The post holder will be expected to have administrative experience and whilst experience of examinations processes are desired, they are not essential as full training will be provided. The postholder must be able to work flexibly, especially as the main examinations season approaches, be able to plan, prioritise and manage their time effectively.
**Examinations**
- Supporting the Examinations and Data Officer with results data
- Responsible for the collection and distribution of examination scripts
- Liaise with external agencies and departments to organise languages and exams not on the curriculum
- Support the Examinations Office on GCSE and A Level results days, in August
- Responsible for the collation and distribution of examination certificates, submission of entries for GCE and GCSE examinations, reviews of marking and any other correspondence from Examination Boards to pupils and the School
- Support the Examinations Officer, when required to set up and commence examinations
- Produce US applicant transcripts
- Liaise with the Examinations and Data Officer and UniAdmissions over interview prep courses and examination entries
**Examinations Planning**
- Support in the planning and organisation of the invigilation team
- Support in the planning and organisation of internal examination timetables, invigilation timetables and examination entries
- Support with preparing exam fees information for the Finance Department
- Assist the IT department and Learning Support department in relation to IT set up, Access Arrangements and additional invigilation
- Participate in internal and external training, updates and review sessions, as required
- Support with the organisation of in school tests including LUCID and scholarship exams, non-Examined Assessments (NEAs) and/or coursework
- Support with managing parental correspondence and communications with departments
- Support with the collation of documentation for SAT and ACT accommodations
- Support the Examinations and Data Officer with data analysis of internal and external tests and exams
**Administration**
- To be a member of the School Office Team, supporting the School Office on a daily basis with day to day administration
- Assist pupils and staff with queries in the School Office
- Support in the administration of pupil data and pupil groups
- Support senior staff with monitoring and tracking of pupil progress data
- Performing any other duties as advised by senior staff
**Qualifications and Skills**
- Maths and English Grade C or above GCSE (or equivalent)
- Strong organisational and planning skills.
- Excellent verbal and written and communication skills
- Excellent time management skills and ability to multi-task and prioritise work. Experience of working in a fast-paced environment
- Attention to detail and problem-solving skills.
- The ability to form and maintain appropriate relationships and personal boundaries with children and young people
- Ability to prioritise with excellent time management skills, methodical and thorough with high expectations of self and others
- A natural presence with a hands on approach, confident, proactive and an ability to confront difficult issues and reach a positive conclusion
- High standards and outstanding levels of professional and personal integrity
- Sufficient numeracy skills to deal with statistical data
**Experience and Knowledge**
- A proven track record of target driven performance and ideally experience of working in an independent school environment and event management
- Previous experience of working in a complex, busy, service-driven environment
- Has experience in managing a database
- Awareness of current data protection legislation
- An awareness, understanding and experience of issues relating to safeguarding the health, welfare and safety of children
