**Operations Administrator**

The Operations Administrator is a vital role in ensuring that the day-to-day operations of the organization run smoothly. They work within the Operations team to support current team members and COO with activities relating to the operational running of the Curiosity Software Group. They will be responsible for a variety of operational administrative tasks, coordinating with different departments, and contributing to the efficient functioning of the operations team.

**Key Responsibilities**:
**1. HR Support**
- **Recruitment**_
- Coordinate onboarding processes for new hires, including documentation and orientation sessions.
- **Record Keeping and Data Management**_
- Liaising with 3rd Party HR supplier
- Maintaining accurate and up-to-date employee records in HR systems, ensuring data integrity and confidentiality
- **Administrative Support**_
- Provide general administrative support preparing correspondence, and handling inquiries related to HR
- **Employee Relations and Communication**_
- Respond to internal and external HR-related inquiries or requests and provide assistance
- Assist in organizing and coordinating employee engagement activities and events

**2. Finance Support**
- **Invoice Processing**_
- Accounts Payable
- Process invoices for goods and/or services received.
- Track and manage outgoing payments and ensure timely processing.
- Accounts Receivable
- Prepare, verify, and process invoices for product sales and/or services rendered
- Track and manage incoming payments and ensure timely processing
- **Expense Management**_
- Process expense reports, track receipts, and ensure adherence to company policies
- Assist in the preparation of budgetary reports and monitor departmental spending
- **Financial Record Keeping**_
- Supporting the maintenance of accurate and up-to-date financial records in accordance with company policies and legal regulations
- Perform data entry tasks to update financial systems and spreadsheets.
- **Reconciliation**_
- Assist in reconciling bank statements, credit card statements, and financial discrepancies by collecting and analysing account information.
- **Payroll Support**_
- Answering employee questions, fixing processing errors
- Processing payroll by providing relevant data (salary information, absences, leaves, etc.)
- **Administrative Support**_
- Liaise with other departments to ensure accurate and timely financial data collection.

**3. General Company Operational Support**
- **Process Management**_
- Assist in the implementation and maintenance of operational processes and procedures to ensure efficient functioning of the organization.
- Monitor and track operational activities, ensuring deadlines are met and escalating issues as needed.
- **Communication and Coordination**_
- Liaise between different departments to facilitate communication and ensure seamless workflow.
- Assist in preparing and distributing internal communications regarding operations, policies, and procedures.
- **Data Management and Reporting**_
- Maintain accurate records and systems, ensuring data integrity and confidentiality.
- **Inventory and Resource Management**_
- Assist in managing inventory and ensure that office supplies are ordered and stocked as necessary.
- Help in coordinating logistics and managing resources effectively.
- **Compliance and Quality Assurance**_
- Support the Legal and Governance team to ensure that operational activities adhere to legal guidelines, company policies, and quality standards.
- Assist in conducting audits and assessments to ensure compliance and continuous improvement.

**Requirements**:

- **Experience**_

1-2 years of experience in an administrative or operations role.
- **Skills**:_
**Must have**
- Strong organizational and multitasking skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent communication and interpersonal skills.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.

**Nice to have**:

- Familiarity with administrative software.
- Familiarity with accounting/bookkeeping software

**Salary**: £20,000.00-£29,718.00 per year
