- **BACKGROUND**

Cumbria Gateway is a not-for-profit organisation, operating various projects within Cumberland. This role is to work at our Gateway 4 Women project which is based in Workington. Gateway 4 Women is a women’s centre offering support to women in a safe, welcoming, and women-only space. We support women with a range of vulnerabilities, including mental wellbeing, homelessness and housing related difficulties, those undergoing drug and alcohol rehabilitation, suffering domestic abuse, debt and money management, and social isolation, to name a few. We are open to all women - some may simply wish to come down for a chat and a cuppa and meet new people

Our aim is to encourage, enable and empower women to unlock their potential by accessing support, learning new skills, gaining qualifications, building confidence and self-esteem, developing social skills, and thus improve overall wellbeing. To do this, we offer a variety of support groups, workshops, 1-1 support, therapeutic activities, and education and training courses. We work closely with local agencies including Drug & Alcohol Services, Probation Services, Job Centre and Citizens Advice Bureau, in order to be provide support in a holistic manner, bringing services into our Centres where possible, as opposed to signposting women out.
- **MAIN PURPOSE OF THE JOB**

Provide support to all Gateway 4 Women clients accessing social and holistic groups.
- **MAIN RESPONSIBILITIES**:

- To plan and facilitate structured, holistic groups, and social sessions within the Centre.
- Welcoming clients/visitors to the center
- Ensuring clients are booked in using the booking system.
- Interacting with our clients in social groups
- Being aware of all health and safety within the workspace and reporting to the Gateway 4 Women Operational Lead of any issues that arise
- To ensure refreshments are provided.
- Refer to Food bank where applicable.
- Ensure the safety of clients and the Gateway 4 Women Centre when there is conflict between clients.
- Provide cover for other areas of the Centre and social enterprises in the event of staff holidays or sickness.
- Competent at opening and closing of the Gateway 4 Women Centre
- Reporting any issues to Gateway 4 women Operational Lead

Social Groups:

- To plan and facilitate Holistic groups.
- Facilitate social coffee morning/afternoon sessions every week.
- To prepare all session materials in advance and plan activities
- Ensure that any resources required are ordered and kept on top of to ensure they don't run low.
- Liaising with Lead Support Staff if any clients require further support or 1:1 appointment.
- Ensuring all women have an opportunity to book on to the social sessions.
- Ensure topics of conversation are appropriate and kept uplifting.

Reception / Administration:

- Receiving clients & visitors at the reception desk by greeting and welcoming directing and announcing them appropriately
- Answering all incoming calls, promptly and politely, dealing with all calls and forwarding as necessary
- Supporting clients over the phone as the first point of contact
- Supporting current clients over the phone where necessary or forwarding to support workers
- Booking in all registration appointments, for support workers
- Ensure reception area is tidy and presentable with all necessary stationary leaflets & timetables.
- Receiving any post and deliveries
- Following all safety procedures
- Monitoring security of the building, only allowing registered clients and booked professionals into the building.
- Checking supplies of stationery
- Photocopying
- Filing
- Arranging maintenance appointments
- Sending all invoices to Finance Department
- Booking rooms for hire for other agencies
- Keeping Booking system up to date
- Booking in all activities for clients
- inputting full client details from registration forms to clients recording system and keeping all details up to date
- Keeping all record cards up to date
- Support Clients on social events as and when required.
- Ensuring coffee, tea and water available and offered to clients & professionals.
- Creating posters / flyers / notices etc. of Gateway 4 Women information.
- Stationary inventory for re-ordering
- Cleaning offices as necessary
- Petty cash recording
- Keeping professional / supplier record cards up to date.
- Displaying all appropriate timetables, courses, activity groups & holistic groups to distribute & replenish as necessary for clients & staff.
