S_**_PECIFIC RESPONSIBILITIES_**

**Receptionist Duties**
- Provide a comprehensive reception service, including greeting visitors to the Academy and ensuring relevant safeguarding checks are made, including receiving parents and students, dealing with general enquiries face to face or by telephone; taking messages or referring matters to the appropriate person.
- Be responsible for maintaining and developing the reception and reception area, ensuring the visual displays best promote and communicate the activities and ethos of the academy and ensuring stocks are replenished and best value achieved.
- Proactively take responsibility for ensuring visitor information is provided in advance of their arrival where possible enforcing the correct safeguarding procedures are followed.
- Monitor and maintain the visitors signing in systems.
- Provide general administrative support e.g. photocopying, filing, faxing, complete standard forms, respond to routine correspondence.
- Enter and retrieve data relating to students on SIMs and other software packages as directed.
- Undertake typing, work processing and other IT based tasks.
- Provide first aid assistance to staff, students and visitors as and when necessary.
- Undertake other reasonable duties (with competence and experience) as requested, in accordance with the changing needs of the organisation.

Act as a point of contact for the Trust, managing a switchboard and directing calls to the appropriate service, responding and handling an inbox for queries specifically for the Trust.

**Procurement Administration**
- Administrate the local finance admin service to support Academy staff in their procurement activities, raising requisitions and following up on approvals of requisitions.
- Being responsible for the receipt of goods and services into the Academy, checking the delivery log and liaising with staff to ensure GRNs are raised in good time.
- Identify implications and situations that require escalation to the Academy Manager.
- Recognise and identify additional spend commitments and report to the Academy Manager.
- Administrating the local cash collection procedures
