Rota Coordinator for Maternity Staffing

The post holder will work closely with the Supervisory Ward Sisters/service leads and the Matrons responsible for the area to ensure rosters are released with safe staffing and according to North Bristol Trust release dates.

The post will provide a high level of rota coordination and support to the co-ordination of divisions’ midwifery staffing.

The post will be responsible for maintaining the electronic rostering system, highlighting and resolving shift vacancies in the rota and being the point of contact for all queries from the midwifery team across the whole of the Women and Children’s Division.

The post holder will work closely with the Supervisory Ward Sisters/service leads and the Matrons responsible for the area to ensure rosters are released with safe staffing and according to North Bristol Trust release dates.

The post will be the direct link for arranging all internal induction and training.

Patients are the most important people in the health service and are at the centre of what we do. Patients and carers are the ‘experts’ in how they feel and what it is like to live with or care for someone with a particular illness or condition. The patients’ experience of our services should guide the way we deliver services and influence how we engage with patients every day in our work.

All staff should communicate effectively in their day to day practice with patients and should support and enable patients/carers to make choices, changes and influence the way their treatment or care is provided. All staff, managers and Board members should work to promote effective patient, carer and public involvement in all elements of their work
- To be responsible for maintaining rosters for all midwifery staff within Maternity (including the community midwives), using the E-Rostering system.
- To ensure accurate recording of all Annual Leave, Sickness and Other Leave.
- To process leave requests and shift swaps in a timely manner via E-Rostering and Shared Mailboxes.
- To ensure that there is sufficient midwifery staffing cover on each shift. Where there are shortfalls, try to resolve and where this is not possible escalate to relevant Supervisory Ward Sisters (SWS)/unit leads and Matrons as early as possible.
- Attend staffing meetings and ensure all relevant parties are aware of changes regarding cover, annual leave requests and requirements.
- The ability to action telephone enquiries and take appropriate action
- To liaise with IM&T teams to ensure new midwives have IT accounts and relevant access, adding and removing personnel from distribution lists where appropriate
- To assist SWS and Matrons with the audit/data collection and reporting as necessary, to feedback workforce data
- To liaise with HR and address any concerns raised and highlight to appropriate matrons as required.
- Work closely with wards/ staff areas to understand shortfalls in midwifery cover
- Photo coping, filing, scanning and other administrative duties to ensure the efficient running of the team
- Working with the SWS and the Matrons to monitor sickness absence, including supporting with organisation of return-to-work meetings where required, adhering to the absence policy.
- To undertake training as and when necessary and to ensure awareness of and compliance with Trust policies and procedures.
- Other tasks felt necessary for the role by the Line Manager.
