**Accounts and Administration Assistant**

An opportunity has arisen for an enthusiastic individual to join the Finance team to support the accounts and administration function at Kelvinside Academy, a leading independent school in the West End of Glasgow. Prior finance and office experience is essential, together with a sound knowledge of Microsoft Office/Excel. The person appointed must have experience working with a computerised Accounting System.

**Working hours: 16 - 20 hours per week**

**Holidays: Term Time with a requirement to work 2 weeks during the Summer School holidays**

**Salary**: £DOE

Reports to: Finance Manager

**Purpose of Role**:The Accounts and Administration Assistant will carry out finance and general administrative duties in support of the Chief Operating Officer and Finance Manager.

**Main Duties and Responsibilities**:
They may be allocated primary responsibility for a defined area (s) of work yet they must be flexible in their approach to work and provide assistance in other areas where required.

**Accounting**
- Process petty cash requirements and balance petty cash book
- Process staff and credit card expenses
- Carry out bank reconciliations
- Post cash allocations to nominal accounts
- Journal Posting
- Issue and maintain records of purchase orders
- Daily Banking
- Stock control and operation of school shop
- Responsibility for Parent Pay - setting up school trips, monitoring payments, posting to relevant journal accounts, maintaining spreadsheets
- Assist with audit preparation
- Reconciliation of non-Trust accounts

**Administration**
- Maintain and stock the Photocopiers, taking meter readings when required
- Management and procurement of stationery
- Review of stationery suppliers ensuring to attain eco-friendly and best value suppliers
- Coordinating Exam Stationery for the teachers/pupils
- Coordinating process of producing and distributing teaching staff diaries
- Raising purchase orders/ordering
- Provide general administrative support to the Finance Department, as required

**Staff Support**
- Support the wider Finance team with ad hoc duties when required
- Build and maintain relationships with internal and external parties
- Support and work towards the school’s goals and values
- Organize the collection of ticket money and donations at school events via parent pay

**Personal Specification**:

- Basic understanding of account principles and practices
- Strong organisational and numerical skills
- Effective customer service and relations
- Excellent communication and inter-personal skills
- A polite and professional office and telephone manner
- Proactive approach to identifying and remedying problem areas
- Previous financial administration experience and ability to use spreadsheets
- Previous accounts experience
- Proficient in Microsoft Office Suite
- Intermediate knowledge of Excel essential

**Salary will be based on experience.**
