We have an exciting opportunity for an experienced Maintenance Co-ordinator/ Administrator who has a good understanding of property maintenance safety as well as customer service, strong organisational and administration skills

The role requires high energy and a willingness to get stuck in and help whenever necessary with a varied workload in active and busy offices. Often there will be time pressures and short notice requests - our maintenance team should thrive under this pressure.

**Main duties for Repairs & Maintenance Coordinator**:

- Organise and schedule estimates and or new works for reactive maintenance for our large portfolio of clients.
- Prioritising requests based on the severity of the issue and managing time effectively to deliver.
- Management of major repairs or re-decorations
- Liaising with all relevant parties such as Clients and Contractors
- Analyse expenditures, knowledgeable about the different trades and able to estimate costs on maintenance jobs
- Manage all insurance related works as well as overseeing the insurance policies when required
- Scheduling repairs and preventative maintenance
- Prioritise daily tasks to ensure maintenance jobs are completed in a timely matter
- Identify current and future maintenance requirements by liaising with tradesmen, technicians, and other persons in a position to understand maintenance requirements
- Accounting for purchases from suppliers
- Administration and organisation of daily tasks
- Raising and booking jobs, closing jobs
- Signing off invoices from engineers, sub-contractors
- Create folders on the new data base for each job and quotations.
- From the database review all outstanding works / quotations forwarding the information onto the Estimator/Contractors Manager on a weekly basis.
- Update the database on any client feedback with regards to any works or quotation in order to enable us to quote more efficiently.
- Constant contact with Engineers throughout the day for updates.
- Provide information by answering questions and requests.
- Contribute to team effort by accomplishing related results as needed

What we need from you:

- Excellent interpersonal skills, with the ability to communicate effectively and maintain appropriate professional boundaries
- Ability to prioritize workload and work effectively in a high-pressured environment
- Close attention to detail
- A proficiency in the use of MS Office including Outlook, Word,
- Strong administrative skills
- Previous experience in a similar position
- Strong team ethic, with the proven ability to work effectively and collaboratively within a team or independently with individuals at all levels
- Working on own initiative without close supervision and as part of a team
- Working flexibly in responding to the varying demands of the role in order to achieve agreed outcomes
- Taking on extra duties given by the line manager when required.

**Hours**:

- Mon - Fri, 9:00 am - 6pm & Sat, 10am - 2pm

**Salary**: From £21,000.00 per year
