**Administrative Assistant Job Description**

Hours:
25 hours per week over 5 days

Location

Linden Medical Centre (other venues as appropriate)

**Duties and Responsibilities**

To be responsible for undertaking a wide range of administrative duties to support the clinical provision within the Practice. The main focus of this role will be maintaining the systems in place for the call and recalling of patients, and to work with the team to ensure appropriate cover during holiday period and staff sickness.

**The main areas of responsibilities**:

- Monitoring patient recalls (Blood tests, screening programmes and chronic disease)
- To work within the team maintaining and processing patient information and records

**The main duties**:

- Maintaining and creating excel spread sheets
- Liaise with all members of staff, GP’s and outside organisations
- Regularly produce clinical reports to monitor patients
- Check criteria of all patients requiring follow-up
- Send letters and produce blood test forms
- Follow up non attendees
- Checking pathology reports
- Maintain diary dates (recalls) for bloods etc.
- Coding patient records
- Other roles as required to maintain accurate patient information

Other ad-hoc duties as appropriate to the post and as required ensuring the smooth running of the Practice.

**Person Specification**

The responsibilities for this role will require a methodical and pragmatic administrator who will be comfortable working to multiple demands and priorities, in a busy GP Practice.

Essential knowledge, skills and experience required;
- Experience essential for working with MS Office products, especially MS Word & Excel
- Effective communication skills will be required to engage with a range of stakeholders, able to communicate with patients in a professional and caring manner
- Team worker with ability to interact and motivate others
- Aware of own strengths and development needs
- Numerate and IT literate (capable of producing and maintaining reports and documents etc. as appropriate)
- Prioritisation skills with ability to manage own workloads
- Flexible, enthusiastic and committed
- Accurate and methodical
