This job is based in the Executive office of a network of over 300 independent accountancy and consultancy firms based throughout the world. The network is governed by a Board of Directors drawn from the leading members in each continent. The executive officeprovides the strategic, managerial and administrative support to the Board and to the running of the network.

The role of Senior Office Administrator will serve as No 2 to the CEO and has responsibility for running all administrative functions in the executive office. You will also have line mangement of other Executive Office staff.

**Duties include**
- To manage the administrative functions within the executive office, operating in conjunction with other Executive office staff.
- Provide regular reporting updates for CEO.
- Overseeing and ensuring timely reporting from all member firms on a range of reporting requirements on a cyclical and annual basis.
- Support the Marketing and Business Development Manager to ensure the publications schedule is maintained and that all publications are distributed (electronically and by post) in a timely manner.
- Support the Events and Services Manager in the timely preparation of regional, annual and other membership events - both online and physical.
- Monitor use of intranet activity and manage the effective implementation of the XXXX webinar programme; providing activity and usage statistics as required.
- Provide administrative support to membership Working and Special Interest Groups.
- To be the custodian of the membership database and regularly maintain and update the database ensuring all data stored on all firms and individuals in the network is up-to-date and complete.
- Engage and support periodic and adhoc projects and other duties as and when required/implemented.
- Supporting the effective management of information and data about member firms on executive office IT systems
- When required, assisting in the management and updating of XXXX’s intranet and website.
- Line management of one Membership Support Executive (administration position, already in place)

**Background And/Or Qualifications Required**
- Five years’ + experience working in a similar administrative position preferred. Working knowledge of network or in a professional services environment an advantage.
- Maintain a professional, service-oriented attitude with leadership, volunteers, staff and key vendors
- Advantageous working in a membership organisation or having exposure to multinational organisations on a daily basis
- Ability to relate to a geographically dispersed, multicultural membership with limited face-to-face contact.
- High motivation, conscientiousness, organising abilities, attention to detail, ability to handle multiple tasks simultaneously and employ personal initiative while working independently
- Good writing skills; articulate, with an ability to project a tactful professional image
- Participate as a cooperative team player-member of the executive office and possess a team-oriented philosophy
- Proficiency with common office technologies (i.e., Windows 7, MS-Office Suite products: Access, Excel, PowerPoint, Word, etc.). Website content management system (CMS) is WordPress.

**General Information**

Hours: This is a full-time role; standard office hours are 09:30 to 17:30 hours each weekday, with one hour, unpaid, for lunch. The job holder may be expected to travel both in UK and internationally from time to time. Success will be measured in terms ofproductivity and effectiveness.
