You will be responsible for providing high quality professional administrative support to the Director to ensure maximum office efficiency. You will be responsible for managing the Director's busy diary and communications. You will be proactive in anticipatingthe ever-changing demands of the role and become an ambassador to maintain and enhance our international reputation.
You should have experience of working in an administrative, secretarial or Personal Assistant/Executive Assistant role, along with experience of working with senior members of management within a large complex organisation. Experience of working within an academic,clinical or scientific environment is desirable.
You will be educated to degree level (or have the equivalent relevant experience) and will have excellent IT skills, especially proficiency in the use of Microsoft packages. Key qualities should include independent thinking, ability to work flexibly and aspart of a team and possess excellent communication skills, all of which are needed to efficiently work in a busy and varied role.
To provide efficient high quality professional administrative support to the Director, working proactively and flexibly to respond to the changing demands and priorities of the role as required.
The post holder will also function as part of the wider Administrative team to ensure maximum efficiency and effectiveness of the office.
DUTIES AND RESPONSIBILITIES
- Manage and take full responsibility of the Director's complex and busy diary, scheduling commitments to maximise the Director's time efficiently.
- To schedule, coordinate and provide a full administrative service for all the Director's commitments and meetings as necessary.
- Be aware of, and responsive to, the changing demands of the Director and adopt a flexible and proactive approach to work.
- Deal with all administration around the Director's attendance to meetings and conferences, from acceptance of invites through to preparing itineraries to the Directors' specifications and any post meeting expenses.
- End to end management of meetings (coordinating availability, booking meeting rooms, producing documentation, setting up audio-visual systems, tele/video conferencing facilities, taking minutes, greeting attendees, arranging refreshments as required).
- Arrange and support formal and informal visits to the Centre (visiting academics, esteemed guests, interviewees etc) and act as a point of contact for visitors.
- Assist with general administrative duties including:
- Assisting in arranging meeting.
- Book travel and accommodation.
- Action payment requests for expenditures, including travel, accommodation, conference registration, memberships and payments related to publications.
- Maintain effective paper and electronic filing systems, including the filing of highly confidential material.
- Complete financial administration; placing orders, completing credit card transactions and processing expense claims and invoices promptly and accurately.
- Take initiative on requests and enquiries of administrative nature.
- Take formal minutes when required and ensure distribution to deadlines.
- Ensure compliance with Institute policies, procedures and regulations and assist in the implementation of management decisions.
- Assure discreet handling of all business and ensure compliance with Institute policies, procedures and regulations.
- Attend internal and external meetings and training programmes relevant to the performance and execution of the duties and responsibilities of the post.
