**Salary**:£25,951 (scp 29) pro-rata to hours worked.

**Job Summary/Main purpose of the job**:
The role involves providing day-to-day administrative support to various departments within Hamara. Daily duties include drafting correspondence, creating and maintaining in house spreadsheets, putting information packs together, scanning, filing, Collating and recording information and report writing.

Additional administrative duties will also be required to enable Hamara to run smoothly and support in ad-hoc events.

**Responsibilities/Main Duties**:
**Financial Services**
- To undertake a range of financial tasks as required including receiving, checking, and recording of financial transactions on the finance systems
- To assist in the collection and banking of cash, including the recording of income taken by card machine
- Dealing with expenditure transactions including the ordering of goods and goods receipting of items received

**Business Services**
- To be responsible for the front of house services including maintaining the Booking System, taking payments and dealing with the general public through telephone and face-to-face enquiries as and when required.
- To assist in Increasing Income Generation opportunities specifically around the number of external venue hire bookings in consultation with the Senior Management Team.
- To provide support in the organisation of the events programme.

**Democracy**
- To assist in the preparation of meetings of Agendas including the preparation of correspondence, reports and policy documents as requested.
- To maintain the official minute books of all Board Meetings and Staff Meetings, ensuring confidentiality, records of motions and decisions and to update the action logs routinely.
- To ensure correct notices are given for meetings in accordance with legal requirements.
- To record minutes at meetings including Board Minutes.
- To ensure facilities are provided for the conduct of meetings and Board AGM’s.
- Manage the Diary, processing requests for attendance at events and responding to correspondence.
- To lead in the organisation and planning of various Functions

**Project Services**

To provide Administrative services to the Project Team’s including but not restricted to keeping records, recruitment files and timesheets, reporting any discrepancies to the Senior Management Team.

**General Administration**

To provide accurate and timely support through a range of administrative activities (e.g. letters, queries, file set up and management)

**Generic responsibilities which will be undertaken in support of the above work include the following (if applicable)**:
II) To represent the Senior Management Team and the organisation as appropriate at various meetings, working parties, panels etc. as directed

IIII) Co-ordinate and participate in internal/external meetings and forums

IIIIII) The above is not exhaustive and the post holder will be expected to undertake any duties for the organisation which may reasonably fall within the level of responsibility and the competence of the post as directed by the Director.

**Financial Management**

There are no Budgetary responsibilities allocated to this post, however the post holder will be responsible for:
ii) Supporting the Senior Management Team in preparing and managing budgets and the ongoing budgetary control.
