Executive Assistant to The President

The Executive Assistant is responsible for running the President's Office, in which capacity they will be required to provide the highest level of administrative and secretarial support for the President. The Executive Assistant has specific areas of responsibility in which they will be expected to use their own initiative. The holder of this pivotal position will be required to contribute appropriately within their brief to ensure that lines of communication throughout the College are kept open at all times. The post-holder also provides a level of administrative support for the Domestic Bursar.

Specific duties include:

- Administrative and secretarial support for the President, including diary management, travel arrangements, expense claims, correspondence (including drafting all routine correspondence) and filing.
- Organisation of a number of College events, such as talks and recitals, receptions, large and small-scale dinners etc.
- Organisation of the President's invitations to a range of events including dinners, talks, receptions, and guest nights, and all associated administration.
- Liaison with Fellows, College staff, students and Old Members, on behalf of the President.
- Secretary to a number of College Committees, including the drafting and collation of committee agendas and papers in liaison with appropriate staff and drafting Minutes of meetings.
- Secretarial support for occasional periodic reviews of aspects of the College’s work.
- Liaison with the Clerk to the Governing Body.
- Occasional secretarial assistance for the Vice-President and Dean.
- Such other duties as may reasonably be requested by the President within the scope of the post.

The post-holder also provides a level of administrative support for the Domestic Bursar as follows:

- General administrative support, including diary management and correspondence.
- General operational support, including the management of small projects through to successful completion. Examples include the management of Wellbeing training and Junior Dean administration, recruitment support and admin for the annual recruitment of Junior Deans.
- Administration of the following committees: Bursarial, Wellbeing, Sustainability. This includes arranging meetings, the distribution of agendas and minutes, along with the production of accurate minutes when required.

**Person Specification**
- Previous experience at a senior administrative level or as an executive assistant within a medium-sized enterprise.
- Capable of working with individuals at all levels within the College, the University and externally.
- Demonstrably relevant experience and a track record of flexibility.
- Excellent oral, writing and minuting skills.
- Willing and able to work additional hours on reasonable request.
- Must be personable, pro-active, have excellent interpersonal and communication skills, a respect for confidentiality, a capacity for high quality, accurate work and the ability to work independently.

This is a permanent post, offered as a full-time role. [However, in consultation with the post-holder, it could be considered as a 0.8 FTE, equating to 30 working hours per week by agreement with salary _pro rata_].
