**Responsible for**: May oversee work of volunteers

**Main Purpose**:
To provide admin support to the team in Essex safe accommodation sites, including safeguarding reporting, site compliance with Health and Safety and filing. Meeting and greeting clients and booking them in for support where needed. Taking rent payments and manage site budget and petty cash. Liaising with internal teams including the finance team, rents and facilities to ensure communication is open and clear

**Key Responsibilities**:
**Corporate**

1. To maintain and demonstrate a commitment to the Organisation’s vision and values and strategic aims and objectives.

2. To maintain high standards of professionalism and keep abreast of current legislation, standards, best practice and maintain a focus of continuous improvement.

3. To maintain knowledge of the Organisation’s operating environment.

**Main Tasks**

1. General Admin tasks such as the receiving of inbound and outbound post. Use IT competently to produce and store letters and documents when communicating with internal and external departments, clients, and Funders.

2. Make and receive telephone calls, in a professional manner, take messages ensuring they are passed on promptly.

3. Assist with the collection of charges due from residents in safe accommodation, issue receipts, keep records of cash collected, payments due/in arrears, deposit cash securely

4. Assist facilities and site staff in weekly/monthly/annual checks of safe accommodation for Health & Safety purposes including fire drills, fire checks and risk assessments and ensure that units are properly maintained by service users and report and chase repairs as necessary.

5. Maintain and check periodically the inventory of furnishings, bedding, crockery, kitchen utensils, etc. pertinent to each unit.

6. Be first contact within the safe accommodation and respond in a professional manner, meet and greet visitors, ensuring they sign-in the visitor’s book etc.

**General**

1. The role holder will be expected to perform any other duties that may reasonably be asked of them.

2. Undertake appropriate skills-based training which the organisation requires you to complete.

3. Undertake cross-site training in order to provide cover at other properties within Safer Places.

4. The role holder will be able to work within the Safeguarding arena following organisation policies and procedures, be able to Recognise; Respond to; Report and Record Safeguarding issues and understand and make quality Safeguarding Referrals.

5. Comply with data protection legislation, confidentiality and information sharing policy and procedures and all legislation connected to your work.

6. Respect and value the diversity of the community in which the services works in and recognise the needs and concerns of a diverse range of survivors ensuring the service is accessible to all.

**Experience and Knowledge**
- Experience of having worked in an administrative role
- Experience of dealing with vulnerable clients in a sensitive manner to create positive outcomes
- Experience of dealing with confidential and sensitive data.
- Knowledge of debt recovery procedures.
- Knowledge of dealing with diverse clients in a busy stressful environment.

**QUALIFICATIONS**
- 5 GCSE’s grade C or above (to Essential Certificates Shortlist - include Maths and English)
- Willingness to complete accredited training within 6 months of appointment

**Car driver and access to vehicle.**

**All staff must complete a DBS disclosure due to the nature of our services.**

**Job Type**: Part-time
