**OFFICE ADMINISTRATOR**
An exciting opportunity has arisen for an office administrator to join Urban Green based in
**Key Responsibilities**
**General**
- Managing incoming and outgoing post / correspondence
- Taking minutes, writing up and distributing
- Printing and scanning documents
- Arranging staff/client meetings, scheduling appropriate times, booking rooms, planning refreshments, and taking meeting notes where appropriate
- Arranging staff travel and accommodation booking arrangements
- Organising company vehicles, their maintenance, insurance, fuel cards and records. Managing vehicle booking system
- Organising CPDs and catering as appropriate
- Liaising with the office landlord regarding servicing, bills, fire procedures, welfare, etc
- Liaising with insurers and utilities providers to ensure quotes are obtained, policies are in place
- Providing PA support to the management team
**Staff**
- Organising arrangements for new starters/leavers with IT
- Be the first point of contact for IT issues, liaising with our external supplier
- Maintaining first aid, fire, electrical and health and safety compliance
- Co-ordinating staff appraisals and organising training
- Maintaining the staff sickness and holiday monitoring system
- Supporting and organising monthly staff forum and social events
**Finance**
- Maintaining the purchase ledger
- Raising invoices working closely with the management team
- Raising queries with clients, i.e., requesting purchase orders, etc
- Managing debt, chasing outstanding invoices with clients
- Managing office purchases - equipment, sundry supplies, etc
- Managing petty cash and purchases
- Collating and managing staff expenses
- Liaising with accountant on general queries / reconciliation
**CRM**
- Inputting data into CRM as and when required
- Following up fee proposals as and when required
**Asset Management**
- Managing and maintaining a stock of sundry office supplies and refreshments
- Organising, maintaining and updating PPE, tools and equipment log
**Essential Requirements**
- Previous experience of working in a similar role
- Organised
- Reliable
- Trustworthy
- Enthusiastic
- Punctual, personable and approachable
- Able to work under their own initiative and as part of a team
- Experienced in Microsoft Office
- A competent communicator
- Able to work at all levels with colleagues
**Desirable Requirements**
- Previous experience of working in consultancy or construction
- AAT Level 2 or working towards
- Experience of using accountancy systems such as Xero
