Job Summary:
Supporting the Administration Function of the Paisley Operation to ensure full compliance and manage the safety, compliant and commercially sound administration and processes.
Key Responsibilities:
- Paisley site administration in line with relevant Health and Safety, Legal Compliance, Human Resource, Finance and Operating KPI's
- Supporting On-Site Operations Manager in the overall management of waste acceptance, including the raising and provision of all relevant documentation/work instructions, or third-party contractors (as appropriate)
- Development and maintaining of good working relationships with all key site stakeholders through clear and transparent communication for delivery of onsite requirements in respect of:
Ø Document work and duty of care packs
Ø Dealing with new waste enquiries
Ø Sending updated quotes Service Centre
Ø Communicating and coordinating with On and Off-site teams
Ø Checking the sending SEPA / EA returns
Ø Delivered Waste data
Ø Communicating with Technical Assessors regarding new waste items
Ø Dealing with waste non-conformances and reporting back to Service Centre
Ø Checking and sending invoices
Ø Handling inbound calls internal and external customers
- Responsible for leading continuous improvement programmes throughout the team in areas relating to Safety, Quality & Compliance, Cost and Service Delivery. These programmes will be cascades throughout the team and reviewed regularly.
- Ensuring that all critical and relevant information is correctly recorded, right first time, within business standard workflows with process failures challenged including implementing an appropriate corrective action plan.
- Manage and develop all administration functions and support / development of office staff.
- Creating and maintaining weekly performance KPI’s for the team and issuing results to On-Site Operations Manager
- Developing existing performance measures to ensure clear visibility of critical business processes within the flow of information through site Administration team.
- Control of Payroll for site, ensuring right first time and on time, data input and submission
- Supporting where possible other teams to enable and realise developments within internal administration processes
- Critical super user for internal processes and tracking systems / databases driving process and data efficiencies within the business.
Critical Qualifications:
- GCSE English & Mathematics or higher
- Leadership & Management Certificate (Desirable)
- Lean 6Sigma (Desirable)
Critical Knowledge, Skills and Experience:
- Waste management background (Desirable)
- Good decision making
- Experience of developing and running small team
- Excellent communication skills both written and orally
- Advanced of Excel & Word packaged
- Good understanding of using databases
- Proven track record of effective leadership and management
